Scheduling Dashboards in Motive Analytics

Motive Analytics allows users to schedule dashboards and automate the delivery of key insights. Scheduled dashboards reduce reporting overhead and ensure timely sharing of insights across the organisation.

  • Set dashboards to be delivered automatically, reducing manual reporting effort and saving time.
  • Select recipients by user or role to ensure the right stakeholders receive critical information.
  • Schedule reports daily, weekly, or monthly at chosen times, maintaining consistent reporting workflows.
  • Deliver dashboards via email as PDF or PNG attachments, allowing recipients to access insights without logging into the Motive platform.
  • Edit, duplicate, pause, or delete schedules from the Schedule tab, keeping reporting accurate and relevant.

Creating a new schedule 

  1. Log in to the Motive Fleet Dashboard.
  2. Go to Analytics > Browse and select a dashboard. 

  3. Click the three-dots menu and select Schedule

  4. Preview the scheduled dashboard and click Next. 
Note: Modifications can be made here, such as adding filters or a dashboard note. 

  1. Enter a schedule name and optional notes that will appear in the body of the email, helping provide context to recipients.
  2. Select recipients. These can include fleet users, drivers, or any other defined role.
  3. Choose PDF or PNG as the file format. 

  4. Select Dashboard filters if needed.
  5. Set cadence (daily, weekly, or monthly) and delivery time in the Time related fields.
  6. Once all necessary details are added, click Save. 

Managing existing schedules 

Users can view a complete list of all scheduled sends, including key details such as schedule name, next send date, file format, and recipient list, so they can easily keep track of what’s actively scheduled. 

To manage an existing schedule:

  1. Go to the Schedule tab in the Analytics Hub.
  2. View all active and inactive schedules with key details.
  3. Edit schedule: Users can edit existing schedules, including modifying the list of recipients, adjusting the cadence (daily, weekly, or monthly), or changing the report or dashboard content being sent, ensuring schedules remain accurate and relevant over time.
  4. Copy schedule: Users can duplicate existing schedules to streamline the setup of similar sends.
  5. Delete schedule: Users can deactivate schedules they want to pause or permanently delete schedules that are no longer needed.

Can recipients view dashboards without a Motive Analytics account?

Yes. Scheduled dashboards are delivered as attached PDF or PNG files, so recipients do not need a Motive Analytics account to view them.

Can I change a schedule after creating it?

Yes. You can edit the schedule to update recipients, cadence, or included content.

Can I temporarily pause a schedule?

Yes. Use Deactivate to pause the schedule and reactivate it later when needed.

Can I send the same dashboard to multiple users?

Yes. You can select multiple recipients by name, email, or role when setting up the schedule.
