Motive provides powerful tools for tracking fuel performance, fuel purchases, and idle time, along with real-time alerts that help you make proactive decisions and keep your fleet running efficiently. Key features include:

Reports
Motive provides multiple tools to help manage fuel usage and efficiency:
- Fuel Performance report: Track overall fuel efficiency across your fleet. Identify vehicles with poor MPG and take action to improve performance.
- Idling report: See which vehicles are idling the most. Reduce unnecessary fuel use and operating costs by addressing high-idle drivers or vehicles.
- Fuel Purchase History: View when and where fuel was purchased. Spot irregularities that may indicate misuse or fraud.
Scheduling and exporting reports:
- Go to any report (for example, Fleet Dashboard > Reports > Fuel Performance).
- Click Schedule to set up recurring email delivery.
- Click Export to download as a CSV or PDF.
Vehicle Benchmark Reports
The Vehicle Benchmark Report in Fuel Hub benchmarks each vehicle’s fuel efficiency against a relevant fleet baseline and automatically calculates expected MPG (miles per gallon), variance from that benchmark, and the associated fuel cost wasted. Fleets can analyze their Vehicle Benchmark report by following the steps below:
- Log in to the Fleet Dashboard > click Reports > Fuel > Fuel Inefficiency.
- Use the filters to set the report for required date and vehicles.
- The report displays following columns for fleet performance analysis:
- Vehicle: Vehicle name
- Groups: Groups for fair comparison (for example, heavy duty, delivery van)
- Total Distance Traveled: Total distance in selected date range (mi or km)
- Total Fuel Consumed: Total fuel used (gal or L)
- AVG Fuel Economy: Distance / Fuel Consumed
- Expected Fuel Economy: Benchmark for fuel usage
- Difference: Deviation from benchmark
- Inefficiency Cost: Cost wasted
Alerts
Motive’s real-time and customisable alert system helps fleet managers stay informed of important events. Alerts can be set for:
- Fuel purchases far from the vehicle location (possible theft).
- Excessive idling.
- Unusual fuel transactions.

Yes. Set a Fuel Theft alert to be notified of suspicious purchases.
How often are reports updated?
Most reports are updated in near real time.

Yes. You can set a custom idle time to match your fleet policy.
Can I export report data?
Yes. All reports can be exported as CSV or PDF files from the dashboard.
How can I stop email notifications for manually requested card or fuel reports?
If you receive emails like 'The Fuel Purchase Details report you requested is ready to download' after manually generating a report, go to Admin > Cards > Settings > Email Preferences in the Fleet Dashboard. Remove or replace the email address for that report-notification category, then save your changes. Updating that specific category should stop those report-ready emails without turning off all Motive emails.
Why does my fuel report export blank when I filter by jurisdiction?
Fuel and IFTA reports support filtering by jurisdiction and exporting as PDF or CSV. If the report displays correctly on screen but the PDF export returns no data only when a jurisdiction is selected, this is not expected behaviour, and you can contact Motive Support for assistance.
