Managing Confidential Safety Events

Confidential Safety Events allow fleets to restrict access to sensitive safety footage. Fleet Admins can control which users can mark events as confidential and who can view or download confidential media, helping protect driver privacy and sensitive incident data.

Overview

Fleet Admins and Fleet Managers can limit access to Safety Events and requested videos by marking them as confidential. When content is marked confidential, it is hidden from users who do not have the required permissions.

Admins can:

  • Assign permissions to mark media as confidential
  • Control who can view or download confidential content
  • Set up a company preference to automatically mark all collisions and near collisions as confidential

Fleet Admins can assign permissions that allow specific users to mark Safety Events or requested footage as confidential. They can also define which users have access to view or download confidential videos.

Access Safety Events and Requests

  1. Log in to the Fleet Dashboard.
  2. Click Safety.
  3. Select Events or Requests, depending on the action you want to perform. desktop-full - 2026-04-22T083523.570.png

Tag a Safety Event as Confidential

Note: Before aiming to tag an event as confidential, please check with a Fleet Administrator to confirm you have the proper authorization under Motive Roles & Permissions.
  1. Select the Safety Event you want to mark as confidential. desktop-full - 2026-04-22T084256.635.png

  3. In the Decide which media should stay confidential window, choose one of the following options:
    • This event and all media within its duration
    • This event and all media from a custom time period

Note: Selecting “This event and all media from a custom time period” extends confidentiality beyond the selected event. Any Safety Events or requested footage for the vehicle within that time range will also be hidden from unauthorized users, including new video requests for that timeline.

Remove Confidential Tag from a Safety Event

Note: Please check with the Fleet Administrator to confirm you have the proper authorization to remove the confidential tag under Motive Roles & Permissions.
  1. Go to Safety > Events.
  2. Click More and select Confidential only to view confidential events. desktop-full - 2026-04-22T113835.087.png
  3. Click the event you want to update.

Tag a Requested Videos as Confidential

Fleet users with the appropriate permissions can mark requested dashcam footage as confidential directly from the Safety Requests page.

  1. Click Requests.
  2. Select the requested video you want to mark as confidential.
  3. Click Mark as confidential.
  4. In the Decide which media should stay confidential window, select one of the following options:
    • This video only
    • This video and all media from a custom time period
  5. Click Save.
Note: Tagging a video request as confidential automatically tags any Safety Events for the vehicle that overlap with the requested footage as confidential.

Authorize fleets to manage confidential Safety Events

  1. Click Admin.
  2. Click Fleet Users.
  3. Click Roles & Permissions.
  4. Click Create Role or select Options → Edit to update an existing role. desktop-full - 2026-04-22T115857.439.png
  5. Scroll to the Safety section and enable the appropriate permissions:
    • Mark media as confidential – Allows users to mark Safety Events or requested videos as confidential.
    • View confidential media – Allows users to view Safety Events or requested footage marked as confidential. This is the parent permission required to access any confidential media. 
    • Download confidential media – Allows users to download confidential footage. Requires View confidential media permission.

  6. Click Save.

Automatically tag collisions as confidential

Fleet Admins can enable a company preference to automatically mark Collisions and Near-Collisions as confidential when they are generated.

  1. Click Admin.
  2. Click Safety.

  4. Enable the Confidential events settings to automatically tag Collisions and Near-Collisions as confidential.

Confidential Safety Events in the Safety Events Report

  1. Click Reports.
  2. In the Browse tab, click Safety.
  3. Click the Safety Events report.

  5. Click on ‘Confidential-only’ to filter out confidential Safety Events..

Confidential Safety Events in the Requested Videos Report

  1. Click Reports.
  2. In the Browse tab, click Safety.
  3. Click the Requested Videos report.
  4. You will observe a lock icon next to requested videos that have been tagged confidential.

Confidential Safety Events on a Vehicle profile page

  1. Click Safety.
  2. The confidential Safety Events in the Recent Events section of the Overview page are tagged with a lock icon.
  3. Click Events. Confidential Safety Events on the Events page are also tagged with a lock icon

Note: Fleet users who do not have the View confidential media permission enabled for their role cannot see confidential Safety Events anywhere on the Safety Hub.

Confidential Safety Events in the Fleet View section

  1. Log in to the Fleet Dashboard.
  2. On the Vehicle page, the Requested Videos tab displays lock icons next to Safety Events tagged as confidential.
  3. The Vehicle History tab displays lock icons on the map for confidential Safety Events.
  4. Hover over the lock icon to view details about when the event was marked confidential.

Note: Fleet users who do not have the View confidential media permission enabled for their role cannot see confidential Safety Events anywhere on the Fleet View.

Note: Drivers may receive updated notifications in the Motive Driver App when an event they previously had access to is later marked confidential.

FAQs

What happens when a Safety Event is marked confidential?

The event and associated media are hidden from users who do not have permission to view confidential content. This may also apply to overlapping events or footage within the selected time range. List of impacted surfaces: Safety Hub — Events list, Overview, and Cameras tab 

  • Fleet View — Vehicle Trip History, Requested Videos, and Driver Summary 
  • Reports — Safety Events report, Dismissed Events report, Requested Videos report 
  • Driver App — Event notifications and behavior insights 
  • Fleet App — Event list and detail views 
  • Coaching workflows — Confidential events are automatically removed from coaching

What do users without permission see?

Users without permission cannot view the event and will see a restricted access message if they attempt to open it.

Can unauthorized users request videos from confidential timelines?

No. Marking an event or video as confidential prevents new video requests for that time period for any users who do not have the necessary authorization.

Does marking an event as confidential affect Safety Scores?

No. Confidential events are still included in Safety Scores and reporting metrics.

What happens to coaching workflows for events marked as confidential?

Confidential events are removed from coaching workflows. To make them available for coaching again, the confidential tag must be removed.

If I remove the confidential tag, does it apply to all related media?

No. Removing the tag only applies to the selected event or video. Overlapping events or requested video must be un-tagged separately.

Can drivers access events after the confidential tag is removed?

Yes. Once the tag is removed, the event becomes visible again to users and drivers with the appropriate permissions.

Can I filter reports to show only confidential events?

Yes. Use the Confidential-only filter in Safety Events and Requested Videos reports. Fleet users without the View Confidential Safety Events permission cannot see confidential events or videos anywhere in Reports.

How long are confidential events retained?

Confidential events follow the same data retention policies as other Safety Events and requested videos.
