Profiles of Group Level Safety Settings on Motive Dashboard

Profiles in Group Level Settings serve as pre-configured sets of rules that can be applied to specific Groups within your fleet. Instead of configuring individual vehicles manually, Fleet admins can create Profiles that include Safety settings such as unsafe behaviour alerts and dashcam configurations and assign them to Groups.

Overview

  • Profiles introduce a centralised way to manage safety configurations, allowing admins to standardise settings across similar operational groups.
  • They help fleets reduce setup time and avoid configuration drift, ensuring that vehicles operating under similar conditions follow the same rules.
  • By streamlining how settings are organised and maintained, Profiles enable more consistent policy enforcement and easier scaling as fleet needs grow or change.

 

Relationship Between Profiles and Groups

Each Profile can be assigned to one or multiple Groups within your fleet. For example, if Fleet Admins have three different Groups of Long Haul Trucks, they can create a Long Haul Truck Profile with specific safety configurations and apply it to those Groups.

Profile Management

Fleet Administrators can create, modify, or deactivate Profiles. Managing Profiles involves:

  • Creating new Profiles: for different vehicle types or operational needs
  • Modifying existing Profiles: this includes adding or removing Groups
  • Deactivating Profiles: which nullifies their settings for assigned Groups
  • Changing Profile Priority: to ensure the correct settings take precedence in case multiple profiles have common groups assigned to them

Priority of Profiles in Group Level Settings

When multiple profiles are assigned to the same group(s), Motive uses priority order to determine which profile settings take effect when vehicles are associated with more than one of these profiles. Each profile is assigned a priority number, with lower numbers taking precedence over higher ones.

How Profile Priority Works

Consider the example of a Ford truck that has just been added to two Groups:

  • Delivery Vehicles in Texas
  • Short Haul Vehicles in Arizona

Company policy dictates that Mobile Phone Usage is prohibited for all vehicles. However, the settings vary by Group:

  • Delivery Vehicles Profile triggers an In-Cab Alert after 10 seconds of phone use.
  • Short Haul Vehicles Profile triggers an In-Cab Alert after 25 seconds of phone use.

Since this truck belongs to both Groups, Motive will use the priority order to decide which setting to apply. If the Delivery Vehicles Profile has a higher priority, the In-Cab Alert will trigger at 10 seconds for this truck.

Importance of Profile Priority

Many vehicles may belong to multiple Groups, each assigned to different Profiles. Motive automatically applies the Profile with the highest priority, ensuring that the most relevant settings are enforced.

Creating a New Profile on Fleet Dashboard

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Click Profiles from the left-hand side menu.

3. To create a new profile, click Create Profile.

4. On the Create Profile screen, enter the Name and Description.

5. Assign Groups to the Profile by clicking Select.

6. A pop-up appears on the screen with a list of groups. Select one or more groups of your choice.

7. Click Save.

8. Review all entered Details and click Save to create the profile.

9. A message pops up on the screen confirming that the new profile has been created on the Fleet Dashboard.

Editing Profiles on Fleet Dashboard

1. Log in to the Fleet Dashboard and click the Admin icon, then navigate to Profiles from the left-hand menu. 

2. A list of profiles appears. Click the three dots on the profile you want to edit.

3. Click View Details from the dropdown.

4. Click Edit in the Details section.

5. Make changes in the Name, Description, or Assigned groups where needed.

6. Click Save to save the changes.

7. A message on the screen confirms that the edits have been made successfully.

Assigning Groups to Profiles

1. Log in to the Fleet Dashboard and click the Admin icon, then navigate to Profiles from the left-hand menu. 

2. A list of profiles appears. Click the three dots on the profile you want to edit.

3. Click View Details from the dropdown.

4. Click Edit in the Details section.

5. Assign more groups or remove any from the Profile by clicking Select.

6. A pop-up appears on the screen with a list of groups. Select one or more groups of your choice.

7. Click Save once selected.

8. Click Save in the Details section.

9. A message on the screen confirms that the edits have been made successfully.

Activating and Deactivating Profiles on Fleet Dashboard

 How to deactivate any Profile

1. Log in to the Fleet Dashboard and click the Admin icon, then navigate to Profiles from the left-hand menu. 

2. A list of profiles appears. Click the three dots on the profile you want to edit.

3. Click Deactivate from the dropdown.

4. A pop-up appears confirming profile deactivation. Read the note, then click Deactivate.

5. The selected profile has been deactivated. 

How to activate any Profile

1. Follow steps 1 and 2 from the above section.

2. To activate any profile again, simply select Activate from the dropdown.

3. A pop-up message appears confirming the activation of the profile; read it carefully and click Activate.

4. The selected profile is activated.

Editing Profiles Priorities on Fleet Dashboard

1. Log in to the Fleet Dashboard and click the Admin icon, then navigate to Profiles from the left-hand menu. 

2. Click Edit Priority.

3. Go to the profile you want to prioritise, click the dots, and drag it up or down according to the desired order.

Note: If a vehicle is linked to more than one profile, the profile with the higher priority will decide which settings the vehicle uses. For example, if a Ford F-150 is part of both the "Alpine Parks LLC" profiles, and “Delivery Trucks” profiles, and the "Delivery Trucks" has a higher priority, the truck follows the settings from “Delivery Trucks.” 

4. Drop the profile tile at the desired priority in the list.

5. Profile numbers are updated automatically based on the new priority order.

6. Click Save.

7. Click Confirm and save.

8. A message pops up confirming that the priority of the profile is updated.

Note: Depending on the number of vehicles in each Group, it may take longer for the settings to be applied to each vehicle as per the correct priority order. Please give at least 5 minutes to verify revised Safety settings for a vehicle. 

Deleting a Profile 

1. Log in to the Fleet Dashboard and click the Admin icon, then navigate to Profiles from the left-hand menu. 

2. A list of profiles appears. Click the three dots on the profile you want to edit.

3. Click Delete from the dropdown.

4. A confirmation pop-up appears on the screen. Read carefully and click Delete.

6. A confirmation message appears indicating that the profile has been deleted.

Setting and clearing Override settings for a Profile or an Organisation

Setting overrides for a Profile or an Organisation

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Go to Safety > Unsafe Behaviour Detection.

3. Choose a specific profile from the dropdown menu or select Organisation.

4. Click Edit.

5. Change the existing settings, such as the Hard braking, Hard cornering and others as required.
6. Click Save.

7. A red dotted line appears under the setting, indicating that it has been overridden.

Clearing overrides for a Profile or an Organisation

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Go to Safety > Unsafe Behaviour Detection.

3. Choose a specific profile from the dropdown menu or select Organisation.

4. Click Edit.

5. Click Clear overrides.

6. A confirmation message appears. Click Confirm and save.

7. Once done, a message pops up on the screen confirming that the overrides have been cleared.

Clearing overrides for Specific Vehicles from a Profile or an Organisation

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Go to Safety > Unsafe Behaviour Detection.

3. Choose a specific profile from the dropdown menu or select Organisation.

4. Click Edit.

5. Click the settings icon for the overridden behaviour.

6. A list of vehicles with overridden settings from the selected profile appears. Select the vehicles you want to clear overrides for by checking the boxes next to them.

7. Click Clear overrides.

8. A confirmation message appears. Click Confirm and Save.

9. A confirmation message appears confirming that the overrides for that specific vehicle are cleared.

Switching between a Profile and an Organisation

Motive allows Fleet Admins to apply settings at a Company level for all vehicles or to vehicles belonging only to specific Group(s). To do each, they just need to make sure that the right selection is made on each setting page using the top banner (shown below).

Switching from Organisation to Profile to apply Profile level settings

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Go to Safety.

3. If you want to switch from Organisation to any specific Profile, click Organisation.

4. Choose the profile from the dropdown menu.

Switching from Profile to Organisation to apply settings to the entire fleet

1. Log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

2. Go to Safety.

3. If you want to switch from Profile to Organisation, click the name of the profile.

4. Choose Organisation from the dropdown menu.
