    Introduction

    The Maintenance Hub is designed to streamline and optimize vehicle maintenance processes for fleet management.

     

    How Maintenance Hub Helps You

    The Maintenance Hub includes features that assist in managing fleets effectively and ensuring vehicle safety and compliance:

    • Inspection Reports creation
    • Inspection Report listing
    • Maintenance Schedules
    • Automated Reminders
    • Service Notes
    • Service History Page

     

    Maintenance Hub Overview

    1. Log in to the Motive Fleet Dashboard and click Maintenance in the left-hand side menu. 

    2. The Maintenance Overview page displays the Inspection, Upcoming, History, and Schedules tabs.

    Inspection

    Fleet managers can use Inspection Reports to:

    • Generate digital Inspection Reports for vehicles.
    • Create custom Inspection Forms to meet their needs.
    • Ensure thorough evaluation of vehicle safety and compliance.

    Creating an Inspection form


    Click Create Inspection Form to navigate to a new form with customization options:

    1. General Settings: Form name, mandatory or optional parts, image upload capabilities, reviewing previous inspections.
    2. Inspection Form Fields: Time, carrier, and location..

    1. List of Parts: Create a list of parts for Drivers to check during vehicle inspections.

    Inspections Listing page

    View all inspections created by Drivers, including Driver ID, Vehicle ID, Open Defects, Resolved Defects, and Status. Use filters like Open and Resolved inspections for quick actions.

    Resolving an Open Inspection

    Select open inspection from the listing page to access the inspection details. To resolve a defect:

    • Click Resolve against the defective part.
    • Fill in Mechanic Name, Notes, Date, Status, and Signature, and click Save.

    Maintenance Schedules

    To create a Maintenance Schedule, click Add Schedule on the maintenance page to navigate to the creation page. Options include:

    • Maintenance Type: Oil Change and Filter Replacement.
    • Schedule Name: Identify the schedule quickly.
    • Maintenance Frequency: By miles driven, number of days, or engine hours.
    • Upcoming Status: Adds reminders to the Upcoming tab for planning.

    After filling in the schedule information, add vehicle/asset details by clicking Add Vehicles. Set up alerts for the schedule, choosing between email, notification, or both.

    Note: You can set maintenance intervals, like 180-day inspections, oil changes, filter replacements, and others.

    Upcoming 

    The Upcoming tab displays all upcoming maintenance tasks and overdue reminders. It provides a list of scheduled activities, sorted by date and importance. Fleet Managers can quickly see upcoming tasks, view details, and take action to address maintenance needs.

     

    1.  Use the Entity/Service, service Name, Vehicle & assets, Maintenance type, and Status to create a customized view.

    2. This section displays the number of vehicles and assets operating alongside the count of overdue services and upcoming services.

    3. Click the vehicle for which the maintenance is required.

    History

    The History tab provides a complete service history for each vehicle. It shows a timeline of all maintenance activities, including scheduled services, repairs, inspections, and part replacements. 

    Note: Fleet Managers can identify patterns, predict maintenance needs, and use proactive strategies to reduce downtime and improve fleet efficiency.

    Add Service Note

    The Service Note feature allows the recording of detailed service notes and observations related to maintenance activities. Fleet Managers can document service details, including performed tasks, parts used, labor hours, and additional comments or recommendations.
