The Training module in Motive’s Workforce Management helps fleets deliver and track driver training in one place. Instead of using separate tools or manual tracking, fleets can now upload content, assign training, and monitor progress directly in the Motive platform.
Overview
- Fleets can create and assign training quickly using their learning resources or third-party content.
- Drivers can complete training anytime in the Driver App, with reminders sent before due dates.
- Managers can track who has completed training and use reports for audits or insurance.
Helps fleets meet safety and compliance goals and makes onboarding easier for new drivers.
Workforce Hub
A Training tab is now available in the Workforce Hub to help fleet managers manage all training content in one place.
Search and filter options
- Search by module title or keywords in the description
- One filter available: Category
- Default sort: Alphabetical by Module title
- Other sorting options: Assigned, Complete, Overdue (least or most)
Training module list
- Each module appears as a row
- Title and description are shown in the same cell
- The assigned column shows the number of drivers who haven’t completed the module
Actions on modules
- Active modules: View Details, Edit Module, Assign Module, Deactivate
- Inactive modules: Edit, Activate
- Inactive modules are always sorted at the bottom and shown in gray text
Bulk actions
- Available actions: Deactivate, Assign
Training column and filter on the Drivers tab
The Drivers tab now includes:
- A Training column shows the number of modules assigned to each driver.
- If a driver has overdue modules, an Overdue label will also appear below the count.
Clicking the Overdue label opens the module details for that specific driver.
Filter option
A Training filter is available on the page to quickly view drivers based on unassigned or overdue training.
Updated page actions
The top-level actions now include:
- Add module to upload a new training module
- Assign training to assign training
Workforce Training
The following explains how Fleet Managers and Fleet Admins can access and use Workforce Training in the Motive Fleet Dashboard. Lastly, it also covers how Drivers can view and complete assigned trainings through the Driver App.
Add profile settings for viewing/editing Training modules
Similar to Timecards, access is permission-based. A primary control allows users to view training modules. An additional control is required to enable editing. This ensures that different roles in the organization have appropriate access.
To create a new role:
1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
2. In the Organizations menu, click Fleet Users.
3. Click Roles & Permissions.
4. Click +Create Role.
5. Type the name for the new role.
6. Scroll down to the Workforce section. Select the checkbox for View Training Modules and Edit Training Modules.
7. Click Create. The new role has now been created.
To edit an existing role:
1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
2. In the Organizations menu, click Fleet Users.
3. Click Roles & Permissions.
4. Select the role you want to edit and click Options.
5. Select Edit from the dropdown menu.
6. Scroll down to the Workforce section. Select the checkbox for View Training Modules and Edit Training Modules.
7. Click Save.
To assign roles to the users:
1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
2. In the Organizations menu, click Fleet Users.
3. Click Users.
4. Select the user you want to assign the role and click the three dots. Select Edit roles & groups.
5. Select the role(s) and group(s) from the menu.
6. Click Save. The role with permissions for viewing and editing training modules is now assigned to the desired user.
Create and edit modules for Workforce Management Training
To create modules for training:
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Training tab.
3. Click Add Module.
4. Under Details, enter the Title and Description of the new module.
5. Select the Category of the module.
6. Upload the video file for the training module in MP4 or MOV format.
7. Drag or click items from the sidebar to add an assessment after the training.
8. Fleet Managers can select single or multiple select options based on the requirement. Click Mark as required to make it compulsory for Drivers to do the assessment.
9. Click Add once done.
To edit existing modules for training:
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Training tab.
3. Select the module you want to edit and click the three dots next to it.
4. Select Edit Module.
5. Under Details, make necessary changes such as editing the Title, Description, Category, and assessments.
6. Click Save to save changes.
Assign modules for Workforce Management Training
If the Driver(s) are not known:
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Training tab.
3. Select the module you want to edit and click the three dots next to it.
4. Select Assign Module.
5. Select the Drivers or Groups to assign the module to. Click Next.
6. Select the due date and click Assign.
7. A pop-up message appears on top of the screen confirming the status of the module assignment.
If the Driver(s) is known:
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Drivers tab.
3. Select the driver you want to assign the module to and click the three dots.
4. Click Assign training.
5. Select a module to assign from the displayed list and set the due dates of each. You can select one or modules.
6. Click Assign.
7. The selected drivers are assigned the training module.
When neither Driver(s) nor module(s) are known:
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Drivers tab.
3. Click the three dots in the upper right corner and select Assign training.
4. Select one or more Drivers or Groups as the assignees.
5. Click Next.
6. Select one or more modules from the list and set a due date for each.
7. Click Assign.
8. A pop-up message appears at the top of the screen to confirm the status of the module assignment.
Assign training modules from Coaching Summary
A Training Modules tile is available on the Coaching Summary, showing any currently assigned modules. From here, a fleet manager can also assign a new training module based on the coaching session.
1. Log in to the Motive Dashboard.
2. Click Coaching from the left-hand side menu.
3. Select the desired driver from the list and click Coach.
4. Click Coaching to review the behavior.
5. After reviewing the overview and summary, click Assign to assign a relevant training module.
6. Select a module from the list, choose the due date, and click Assign.
7. The training module is assigned to the driver.
8. Under Assigned Training Modules, Fleet Managers can review the modules currently assigned to the Driver and take actions such as Change due date, Unassign, or Mark completed.
9. If no other changes are required, click Complete Session.
View modules for Workforce Management Training
1. Log in to the Motive Dashboard.
2. Click Workforce from the left-hand side menu and click the Training tab.
3. Select the module you want to edit and click the three dots next to it.
4. Select View Details.
5. At the top, a summary displays the total number of Assigned, Completed, and Overdue drivers for the module.
6. The module view also shows a list of drivers assigned to it, along with their Status, Due date, and Completion date. The list can be searched by Driver and filtered by Status to quickly view specific groups.
7. The right-side panel displays the attached Media file attached to the module, along with its storage size and duration. It also shows the Description, Category, Created by, and Last modified details.
8. For the module, click Assign to assign it to new drivers.
9. Select the Edit module or Deactivate options from the three dots menu to update details or remove it from active use.
10. For a particular driver, selecting the three dots menu shows available options such as Message driver, Change due date, Unassign, and Mark completed.
Manage categories of modules for Workforce Management Training
1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
2. In the Products menu, click Workforce.
3. In the Training Categories section, click Edit.
4. You can select between Default categories and Custom categories to which a training module may be assigned. Next to each category, you can view the number of training modules currently using it.
| Note: Default categories (including Uncategorized) can’t be deleted. You can turn off a default category, except for Uncategorized, which is always required. |
5. To delete a custom category, click the X icon next to the number of training modules.
| Note: Custom categories can be turned off or deleted. If deleted, modules assigned to it will move to Uncategorized. |
6. To create a custom category, click Add Category.
7. Enter the name of the category. The category name is required to proceed.
8. Click Save to save the changes.
View Workforce Management Training Reports
1. Log in to the Motive Dashboard.
2. Click Reports from the left-hand side menu.
3. Under the Browse section, click Drivers.
4. Open the Driver Training Detail report to see detailed training activity by driver and the Driver Training Summary report to check the summary of training progress across different drivers or groups.
5. The Driver Training Summary contains information about trainings that have been assigned, completed, and are currently overdue, with completeness varying across different drivers.
6. The Driver Training Detail report includes details on drivers, their assigned groups, training modules, categories, due dates, and completion dates.
View and complete Training modules in the Driver App
To view any assigned module:
1. Log in to the Motive Driver App.
2. Tap Training from the main menu or the home screen.
3. The Training page displays all assigned modules along with their due dates.
4. If a module is not completed by its due date, it moves to the Overdue section.
5. To view completed modules, tap Completed Modules.
6. Tap any module to view its details, including the training video and the assessment.
To complete an assigned module:
1. Log in to the Motive Driver App.
2. Tap Training from the main menu or the home screen.
3. The Training page shows all assigned modules along with their due dates.
4. Tap a module to open it.
5. The training module appears on the screen. Watch the video. If there are no assessments, tap Mark Complete.
| Note: If the module includes assessments, complete them first. All answers must be correct to proceed. Then, tap Mark Complete. |
7. The module status updates to Complete once finished.
