Compliance Reports and Alerts

Compliance reports and real-time alerts are essential tools in the Motive Fleet Dashboard, enabling fleet managers to proactively monitor hours of service (HOS) compliance, prevent violations, and ensure operational integrity. Leveraging these features helps maintain regulatory oversight and supports safe fleet operations.

Overview

The Motive Fleet Dashboard offers a comprehensive suite of compliance reports and real-time alerts, empowering fleet managers to stay compliant with HOS regulations. These tools help streamline operations, manage risk proactively, and enable data-driven decision-making. Key features include:

• HOS violations reports: Identify and track violations, allowing fleet managers to take corrective action before penalties or issues escalate.
• Log audit and logs detail reports: Review detailed logs and audit histories to maintain accurate records, ensuring your fleet stays compliant during inspections.
• ELD output file and violation error summary report: Easily generate the required ELD data files for roadside inspections, making compliance straightforward and efficient.
• Personal conveyance and yard move usage reports: Track and manage personal conveyance and yard move activities, ensuring these special duty statuses are used properly and in compliance with regulations.
• Real-time alerts for driver connectivity and unidentified trips: Get notified immediately when there’s a connectivity issue or unidentified trip, enabling quick resolutions and minimizing disruptions.

HOS Violations Detail Report

Quickly identifying HOS violations is crucial for maintaining compliance and operational safety. To view and interpret HOS Violations Report:

1. In the Fleet Dashboard, go to Reports and search for HOS Violations Detail.
2. Use filters to select the date range, driver, or vehicle as needed.
3. Review key metrics like driver name, violation type, violation duration, and date/time of occurrence.

These reports highlight which drivers are currently in violation or at risk, allowing for timely intervention. 

Log Audit Report

The Log Audit Report provides a detailed history of changes made to driver logs, supporting internal reviews and external audits. To generate and review the Log Audit Report:

1. In the Fleet Dashboard, go to Reports and search for Log Audit.
2. Set the desired filters (date range, driver, etc.).
3. Click Generate Report to view details.

The report shows who made edits, when changes were made, and what was modified. This audit trail is crucial for ELD compliance and accountability during inspections. 

Log Detail Report

The Logs Detail Report gives a granular breakdown of driver duty status changes and activities. To view or download the Logs Detail Report:

1. In the Fleet Dashboard, go to Reports and search for Logs Detail.
2. Apply filters to specify the period and driver(s).
3. Review detailed data, including status changes, timestamps, locations, and durations.
4. Click Export to download the report if needed.

Use this report for in-depth HOS analysis, resolving disputes, or supporting compliance investigations. 

ELD Output File Report

The ELD Output File Report is the standardized file required for official transfers during inspections and audits. To access and generate the ELD Output File Report:

1. In the Fleet Dashboard, go to Reports and search for ELD Output File.
2. Select the driver and date range.
3. Click Download to retrieve the file (usually in CSV format), which includes all required ELD data fields.

This file meets FMCSA standards and is used during roadside or compliance audits. 

Violation Error Summary Report

The Violation Error Summary Report provides a concise overview of the most common compliance issues across your fleet. To access and interpret this report:

1. In the Fleet Dashboard, go to Reports and search for Violation Error Summary.
2. Review summary data, such as violation types, frequency, and affected drivers.

This helps managers quickly spot top compliance risks and prioritize corrective actions. 

Trips Detail Report

This report helps audit driver use of yard move and personal conveyance statuses. To generate and analyze the Trips Detail Report:

1. In the Fleet Dashboard, go to Reports and search for Trips Detail.
2. Filter by driver, date, or status type.
3. Review key data points: driver name, date, duration, and mileage.
4. Use the report to identify potential misuse or non-compliance with status type rules.
5. Download the report for training or audit purposes as needed.  

HOS Recap Detail Report

The HOS Recap Detail Report offers a comprehensive view of a driver’s used, available, and projected hours. To generate this report:

1. In the Fleet Dashboard, go to Reports and search for HOS Recap Detail.
2. Select the driver and cycle period.
3. Review breakdowns of remaining hours, hours used, and projected hours regained.
4. Download the report if required for planning or compliance review.

Compliance Alerts

Monitoring ELD connectivity helps ensure accurate HOS data and prevents compliance gaps. To set up real-time alerts:

1. In the Fleet Dashboard, go to the Admin > Alerts. 

2. Click + Create alert to set up a new alert for Driver Not Connected to Vehicle. 

   

3. Customize notification settings (e.g., email, SMS). 

   

4. Enable Unidentified Trip alerts: Alerts when trips are recorded with no driver assigned. 

   

5. Enable Unidentified Vehicle Motion alerts: Alerts for vehicle movement without a connected driver. 

   

Promptly responding to these alerts helps maintain data integrity and compliance.

Downloading Trip Detail Reports

1. On the Fleet Dashboard, click Reports (left-hand side).

2. In the Browse section of the Reports page, click Trips.

3. Scroll down and click Trip Detail.

4. Use the filters at the top (Date, Group, Vehicle, Driver, Type, Status, and Trip) to refine the results.

5. Click the three-dot button in the top right corner.

6. Select either Export as PDF or Export as CSV, depending on your preferred format. The report will be downloaded to your computer and emailed to you.
