Timecards

The Motive Driver App’s timecards feature helps hours of service (HOS)–exempt drivers track working hours, job types, and shift notes for payroll and compliance. Using Timecards ensures accurate records and supports operational needs for both drivers and fleet managers.

The Motive Driver App’s timecards feature is designed for drivers who are exempt from standard HOS regulations. Timecards simplify shift tracking, job management, and payroll reporting.

  • Easy hour tracking: Record start and end times and select job types for each shift. This ensures all work hours are captured and recorded accurately.
  • Accurate payroll support: Provide complete, verified hours for precise pay calculations. This reduces the risk of payroll disputes or errors.

Basics

Understanding timecards

Timecards are digital records of hours worked, designed for drivers who do not need to maintain records of duty status (RODS) or ELD logs. Drivers can clock in and out, select job types, and add shift notes directly in the app.

Using timecards

Local, hourly, or other HOS-exempt drivers who need to track hours for payroll and compliance can use timecards.

Key distinctions

  • Only available to HOS-exempt drivers. ELD drivers must use Logs instead.
  • Timecards and Logs cannot be used at the same time.
  • Designed to support payroll accuracy and maintain compliance records.

Viewing timecards

  1. Open the Motive Driver App.
  2. Go to Timecards from the main menu or the bottom drawer when clocked in or out.Group 289.png
  3. Review your daily status:
  • In progress: Active shift not yet submitted.
  • Submitted: Timecard signed and submitted.
  • Overdue: Timecard not submitted by the deadline.
  1. Use filters to sort by date, job, or shift.Group 290.png
  2. View and edit entries from the past 30 days. Older records can be managed in the Motive Dashboard.

Submitting Timecards from the Driver App

Submit the current day Timecard

  1. Log in to the Motive Driver App.
  2.  At the day start, Drivers can see a Clocked Out label at the bottom of the homepage. 
  3. Tap the Clocked Out label or swipe up.Group 291.png

    Note: Drivers, by default, see Clocked Out as they start a new day. In cases where the Drivers see themselves to be clocked in already since midnight, it is because they have not clocked out the previous day.
  4. Connect to the vehicle if driving. 
  5. Once connected, tap Clock In.Group 292.png

Note: If your fleet administrator has enabled geofenced timecard restrictions, your clock in and/or clock out experience may vary depending on your location:

  • At permitted locations: You can clock in and out normally without any changes to your usual experience.
  • Outside permitted locations: The clock in and/or clock out buttons will appear disabled (grayed out) and cannot be tapped.
  • If you tap a disabled button: A notification will appear with the message, “Your organization has set certain locations to clock in and clock out and contact your fleet manager to learn what is permitted.” Simply tap Got it to dismiss this message.

This feature ensures accurate time tracking by restricting timecard submissions to authorized work locations only.

  1.  Select the job type.Group 293.png
  2. Once selected, the Driver is now clocked in. Drivers can remain clocked throughout working hours (drivers can also change to any job type while they are clocked in)
  3. If the Driver is taking a break, swipe up or tap the Clocked In label on the bottom of the main homepage and tap Clock Out.
  4. Once the break is completed, return to the Drive App, tap the Clocked Out label, and Clock In again.
  5. As the day ends, return to the Motive Driver App, and clock out by tapping the Clocked In button at the bottom of the homepage and tapping on Clock Out.

Note: The Submit today’s timecard button shows up only if the Driver is clocked out and has worked for at least 6 hours that day.

Submit a Timecard of a shift of less than 6 hours

If the Driver has worked for less than 6 hours a day and wants to submit the timecard, perform the following steps:

  1. Tap the hamburger icon on the top left corner. 
  2. Tap Timecards.Group 295.png
  3. Tap > on the right side of your current day timecard.Group 296.png
  4. Review your Timecard entries.
  5. Tap Submit timecard.Group 297.png
  6. Sign and tap Certify & Submit.Group 298.png

Edit timecard entries or submit any of the past 30 days overdue Timecards

  1. Tap the hamburger icon at the top left corner. 
  2. Tap Timecards.Group 299.png
  3. The list of the past 30 days' timecards, including the current one, is displayed.
  4. Scroll through the list and tap > for any timecard that is required to be reviewed and submitted.Group 300.png
  5. Review the entries.
  6. If you want to add any new entries:
    1. Tap Add entry and add the necessary details.Group 301.png
  7.  If any of the existing entries require edits, right-swipe any of the existing entries and tap Edit.
    1. Make the necessary changes and tap Save.
    2. Once done, tap Submit timecard.
    3. Sign and tap Certify & Save.Group 302.png

Submitting a Timecard 

  1. Log in to the Motive Driver App.
  2. Clock in at the beginning of your shift.
  3. When your shift ends, tap Submit to finalize your timecard submission.
  4. Click Continue
  5. Click Certify and Submit.

To delete an incorrect entry:

  1. Tap the entry, select Delete, and confirm.
  2. If auto-clocked out at midnight, review and correct the entry with a note.
  3. Manual edits require a digital signature and resubmission.

Switching job types mid-shift

  1. While clocked in, tap Switch job.
  2. Select the new job type from the list.
  3. The shift will be split for payroll accuracy.
  4. Switch jobs before starting new duties to avoid overlap.

Reviewing manager-suggested edits

  1. Check the To review section or Timecards tab for edit requests.
  2. Open the entry to see a side-by-side comparison of the original and suggested edits.
  3. Approve or reject changes, adding comments if needed.
  4. You will be notified when edits are finalized or if further action is required.

FAQs

Who can use timecards?

Only HOS-exempt drivers.

Can I use both timecards and logs?

No. You must choose one or the other

What if I forget to clock out?

If drivers forget to clock out, Drivers remain in a clocked-in state the next day, even when they are not working.

How do I correct or add a missed shift?

Manually add, edit, or delete entries for the past 30 days in Timecards

How do I know if my timecard is overdue?

Overdue timecards are labeled as Overdue in the app

Can fleet managers edit my submitted timecard?

Managers can suggest edits, but you must approve or reject them in the app

Which drivers should have their time tracking method set as Timecards?

  • The Timecards is the recommended time-tracking method for Drivers who are exempt from the Record of Duty Status (RODS) regulation, but for whom fleets wish to track hours worked via Motive. 
  • If a Driver is required to maintain Records of Duty Status (RODS) at any point, we recommend setting their Time Tracking Method to Logs.

Can a Timecards driver be switched to a Logs driver and vice versa?

This is not currently possible. Please only enable Timecards for Drivers who are always exempt from keeping Records of Duty Status (RODS).

Why Does The Timecards Time Zone On The Fleet Admin Dashboard Not Match My Time Zone?

The Timecards are displayed based on the driver's timezone setting, not the company's overall or Fleet Admin/ Manager's timezone preference. This ensures accurate work hour tracking and aligns with the way Electronic Logging Devices (ELD) logs function. Changing the company's timezone will not retroactively affect past timecard entries. It will only influence future timecard entries for drivers with updated timezone settings. Fleet managers typically review and process past timecard entries. Retroactively adjusting these entries could lead to confusion and potential discrepancies in records.
