Efficient log management is essential for team drivers to maintain compliance and safety. This article explains how team driver logs work in Motive, including editing, certifying, and reassigning driving periods, ensuring your team stays compliant and inspection-ready.
Overview
Team driving allows two drivers to share driving duties, but each is responsible for their own logs in Motive. Accurately managing these logs ensures compliance and smooth operations.
- Individual accountability: Each driver maintains and certifies their logs.
- Seamless team collaboration: Linked logs allow for easy review and coordination.
- Fleet admin support: Fleet admins can suggest edits and correct mistakes efficiently.
- Simplified compliance: Proper log handling helps pass inspections and maintain safety records.
Basics
In team driving scenarios, each driver’s log is separate but linked within the Motive platform. Both drivers are associated in a session, but each maintains their own Record of Duty Status (RODS). This means:
- Each driver is responsible for their own HOS compliance and log accuracy.
- You can view your co-driver’s logs, but you cannot edit or certify them.
- Accurate and up-to-date logs are essential for passing roadside inspections and maintaining safety records.
Proper log management is a shared responsibility, but it relies on each driver’s attention to detail.
Certifying team logs
Each driver in a team setup must individually edit and certify their own logs.
Drivers:
- You can only edit and certify your own logs; you cannot make changes or sign for your co-driver.
Editing and certifying your logs:
- Open the Motive Driver App.
- Navigate to Logs.
- Select the day you wish to edit.
- Tap to edit duty status, add remarks, or make other necessary changes.
- Once edits are complete, tap Sign > Sign Log and follow the prompts to add your signature.
- Once the signature is added, tap Agree.
If you notice any issues in your co-driver’s logs, please notify them directly—they are responsible for making any necessary changes themselves.
Fleet admins can:
- Suggest edits to a driver’s log from the Fleet Dashboard.
- Suggest edits that appear in the driver’s Motive App for review and approval.
The change takes effect only after the driver approves it.
Reassigning driving periods
Sometimes, a driving period is logged under the wrong driver. Motive provides the capability to correct mistakes where the wrong driver was listed as the primary driver. Fleet Admins can correct errors by reassigning an entire driving period from one co-driver to another.
Prerequisite:
- Both drivers must be indicated as co-drivers on each other’s Log Form for the specific day.
Reassigning a driving period on the Fleet Dashboard:
- In the Fleet Dashboard, go to Compliance > Logs.
Find the log for the relevant day and driver.
Edit the log and select the driving period to be reassigned.
- Choose the correct co-driver to receive the reassigned period.
Submit the reassignment suggestion.
Driver approval:
- Both drivers receive a log suggestion in their Driver App to approve or reject the change.
- The reassignment only takes effect after both drivers approve it.
Outcome:
- Once approved, the driving period moves from one driver’s log to the other, and HOS calculations are updated automatically for both drivers.
