Motive provides detailed reports and proactive alerts for timecards and driver qualifications, giving admins clear insights and timely notifications. These tools make it easier to track workforce activity, manage compliance, and prepare for audits. Key features include:

Hours Worked Report
The Hours Worked Report summarizes total work hours for drivers, helping managers monitor labor and ensure compliance.
- In the Motive Dashboard, go to Reports.
- Select Timecards.
- Click Hours Worked.
Report features:

Driver Qualification Document Upload Alert
The Driver qualification document upload alert sends notifications when driver qualification documents are uploaded so you can track submissions promptly. To create Driver qualification document upload alerts, follow the instructions given in Create and Edit Alerts.

Viewing the ELD output file report
The Fleet Dashboard enables the fleet admins and managers to view and download the ELD Output File report. The ELD Output file report lists all instances of when a Driver sent an ELD Output file to an officer.
- Log in to the Motive Fleet Dashboard and click Reports.

Downloading the Spend Summary Detail report
The Spend Summary Detail report gives the total spending and savings over a specified time. Fleet Admins can check and download Spend Summary Details reports using the Fleet Dashboard.
- Log in to the Fleet Dashboard and click Reports.

Go to Cards > Spend Summary Detail.
- Use the filters Date, Group, categories, and cardholders to filter out results.

The Date filter also has an option to see details based on the Posted Date.
- Click Save to add this report to the saved reports tab for easy access.

Click Export as CSV to download the report file.
Understanding Spend Summary Discrepancies
1. Compare the total spend values in different tabs (e.g., Category, Card, Vehicle, Driver, Group).
2. If the totals do not match, proceed to the explanation provided within the report.
3. A message appears in the Category and Card tabs when a discrepancy is detected. The message explains that:
The Vehicle, Driver, and Group tabs reflect the actual transaction amounts (posted date).
The Category and Card tabs sum individual line items, which may result in minor differences.
Motive is working with merchants to reduce these discrepancies.

Enabling the in-cab alert for distracted driving
Distraction events are detected by the Dashcams and can help fleet managers alert drivers about their unsafe behavior. When the drivers are distracted, the in-cab alert acts as a virtual coach to guide them. These settings can be enabled by the fleet admin in the admin settings on the Fleet Dashboard.

How can I export a timecard or document report?

Set up the driver qualification document expiration alert to get notified in advance.
Can I filter reports to show only certain drivers or documents?
Yes. All reports include filters for drivers, date range, document type, and more.
Where do drivers see document upload or expiration alerts?
Drivers receive push notifications and can view alerts in the Motive Driver App’s notification center.
Can I get alerted only for specific document types?
Yes. Use the Document type filter when configuring upload or expiration alerts.
How can I export a report that includes safety violations for unidentified trips filtered by a specific truck?
Motive platform does not currently support exporting of a report that includes safety violations for unidentified trips filtered by a specific truck. Please contact your Account Manager and they will generate a custom report for you with the required data.
Can I get a report of drivers’ daily start and end times if they don’t use ELD logs or Timecards?
No. Motive can only report daily start/end times if those events are recorded in the system, either through ELD duty status logs (for regulated drivers) or Timecards (for HOS-exempt or time-tracked employees).
If drivers do not use Logs and do not use Timecards, there is no time-tracking data to base a start/end report on, so the Logs Detail and Timecards reports will be empty for them. To get start/end times, you’ll need to adopt either Logs (for RODS drivers) or Timecards (for exempt employees) and then use the corresponding reports.
Can I create an alert when engine load goes above a certain percentage?
Not yet. While engine load is available as telematics data for supported vehicles, Motive’s alert engine does not currently support engine load % as a trigger condition. You can configure alerts for fault codes and other conditions under Admin > Alerts, and review engine load in telematics reports, but you cannot set engine load > X% as an alert trigger today.
