Fleet Dashboard Messaging

Motive’s messaging features make it easy for teams to stay connected. Whether you’re chatting one-on-one, with a group, as a dispatch team, or sending broadcast announcements, the Motive Dashboard helps ensure every driver and team member receives timely updates and support.

Overview 

With Motive’s messaging features, fleets can manage communication directly from the dashboard - without relying on external tools. These capabilities support day-to-day collaboration, help ensure timely updates, and keep driver communications organized across the entire operation. Messages are delivered to the Driver App and Fleet App as push notifications so long as these settings are enabled on the device.

  • Direct and group messaging: Start one-on-one chats or group conversations with drivers and fleet members to share updates, resolve issues, and coordinate tasks in real time.
  • Team messaging: Team Messaging allows Fleet Admins to create a shared inbox for a group of fleet users.  As a team, these fleet users can easily and quickly communicate with one or more drivers.  Team messaging allows for continuous support and chat history so that nothing is missed through shift changes, time off, or personnel changes. Drivers never need to worry again about who is around to help from the back office. 
  • Broadcast announcements: Send messages to large groups with critical updates or policy changes. Have the confidence that your broadcast will not snowball into an unmanageable group chat.

Creating a new chat or broadcast

  1. In the Motive Dashboard, go to Messages.
  2. Click on the pencil icon in the top banner.
  3. Choose Chat or Broadcast:
  • Chat: Replies are visible to all participants. Best for group discussions and 1:1 conversations
  • Broadcast: Broadcasts are meant for one-way announcements to large groups. Replies create private, one-on-one conversations with the sender. 
  1. Select recipients by entering driver names, fleet users, or groups, and click Start.
  2. Type your message and click Send.

Use Chat for collaboration and Broadcast for updates or instructions.

Understanding chat features

  • Messages hub: view chats that you have initiated or been added as a recipient in your message hub. Chats are organized chronologically according to the most recent message in a conversation. Chats can be filtered so that you can focus on broadcasts, team messaging, or unread messages. 
  • Read receipts:
  • One gray checkmark = Sent
  • One green checkmark = Delivered
  • Two green checkmarks = Read
  • Attachments: Use the paperclip icon to attach images, PDFs, or other files. Recipients can download them directly.
  • Location sharing: Drivers can share their live location for real-time tracking.
  • Notifications: Both drivers and fleet users receive push notifications when new messages arrive (unless the driver is using Driver Lock Screen mode).
  • Replies: Replies to a broadcast do not go to all recipients. Instead, a private one-on-one chat is created between the responder and the original sender.

Understanding team messaging

Only fleet admins with the Manage Messaging Teams permission can set up and manage teams in the Motive Dashboard. Teams are composed of fleet users (dispatch, maintenance, safety); drivers are not added as team members but rather may be in a chat with a team of fleet users. 

To create a new team:

  1. In the Motive Dashboard, go to Admin > Messaging > Teams.
  2. Click Create team.
  3. Enter a team name (for example, dispatch or maintenance) and click Continue.
  4. Add fleet users to the team by selecting from your user list.
  5. Click Create Team to activate the team.

To edit or deactivate a team:

  1. In the Motive Dashboard, go to Admin > Messaging > Teams.
  2. Select the team from the list.
  3. Click the three dots (⋯)
  4. To edit the team, select Edit assigned fleet users from the dropdown..
  5. To deactivate the team, select Deactivate team from the dropdown.
  6. To rename the team, select Rename team from the dropdown.

Admins can update teams at any time to keep communication aligned with staffing needs.

To create a new team chat:

To initiate a new team chat, fleet users must be a part of the team for which they are creating the chat.

  1. In the Motive Dashboard, go to Messages.
  2. Click on the pencil icon in the top banner.
  3. Choose Chat
  4. Open Start chat as and select your team (not your personal profile). You’ll only see teams you’re a member of.
  5. Select the recipient(s) you want to reach (e.g., a driver) and click Start to open the team chat thread.

To send messages to drivers from Fleet View:

Fleet users can message drivers directly from Fleet View to stay connected while drivers are on the road.

  1. Log in to the Motive Fleet Dashboard and select Fleet View from the left navigation.
  2. Select the driver you want to message.
  3. Click Message Driver.
  4. Type your message and press Enter to send it.
  5. Once the driver reads the message, a double green checkmark appears next to it.

Push notifications to the Driver App may take a few moments to appear due to normal refresh behavior.
 

FAQs

What’s the difference between chat and broadcast?

Chats are intended for one-on-one or small group conversations and allow everyone included in the conversation to see replies. Broadcasts are meant for announcements to large groups, and replies are not sent to the full distribution list; instead, they start a private, one-on-one conversation with the sender.

Are message attachments downloadable on mobile?

Yes. Attachments can be downloaded from both the Motive Driver App and the Motive Dashboard.

Is there a limit to how many people I can include in a broadcast?

No. You can send a broadcast to individuals, groups, or your entire fleet.

Is message history saved if a team is deactivated?

Yes. Message history is retained for record-keeping even after deactivation. However, retention and deletion are subject to your organization’s data retention settings and policies.

What messaging features are available in the Driver App and in the Fleet App?

Driver App and Fleet App users have access to messages, though some features are unique to each platform and the Fleet Dashboard. Review the Driver App and Fleet App articles for a detailed overview of functionality.

What is the difference between sending a New Message and a Broadcast?

New Chat Messages can be sent to a single user or multiple users. When multiple users are included, replies are visible to everyone in the thread to support cross-communication. Broadcast messages are designed for one-way communication; replies appear in a private conversation between the sender and the receiver. Broadcast messages can be sent to Drivers and Fleet Managers. Drivers can send pictures and share locations when sending new messages but cannot send Broadcast messages.
