Workforce Management Subscription Model

Motive Workforce Management (WFM) has a free tier and a paid subscription offering:

• WFM Free tier: Includes Timecards, Payroll Integrations, Integrated Coaching, and Driver Walkthrough, plus limited access to Qualification Documents with AI capture (driver license only and basic upload or expiration alerts). 
• Paid WFM subscription: Unlocks the full Workforce Management solution, including everything in the Free tier plus the following advanced capabilities for scalable Workforce Management: complete Qualification Documents with AI capture, Integrated MVRs, AI Coach, Rewards, and Integrated Training.

This article explains what is included in each option and how to upgrade to the paid WFM subscription.

What’s included in the WFM free tier update?

The WFM free tier is automatically available to all Motive customers who do not have a paid WFM subscription or an active WFM trial.

Within a Free tier, you can:

• Use Timecards to let workers track time and select jobs in the Motive Driver App
• Use Payroll Integrations to send timecard data into UKG, ADP, and other payroll systems
• Use Integrated Coaching to coach drivers across safety, compliance, and other behaviors in one place
• Use Driver Walkthrough to guide workers through specific sets of actions with automated walkthroughs
• Use the Driver License template to upload, view, edit, download, and archive driver licenses
• Use AI-powered processing to extract driver license details from uploaded files and reduce manual data entry
• Enable driver‑initiated uploads by setting up a walkthrough that allows drivers to upload their licenses from the Driver App
• Configure license upload and expiration alerts to stay ahead of missing or expiring licenses
• Use the WFM guided Onboarding wizard to add drivers, upload driver licenses, and turn on upload/expiration alerts
• View the Benefits tab to compare Free vs Paid features and request an upgrade directly from the Fleet Dashboard

All other qualification document types, templates, and related alerts—as well as advanced Workforce Management capabilities like Integrated MVRs, AI Coach, Rewards, and Integrated Training—remain available only with a paid WFM subscription.

What’s included in the paid WFM subscription?

The paid WFM subscription includes everything in Free tier plus the full Workforce Management feature set.

With the paid Workforce Management subscription, you can:

• Complete Qualification Documents access with AI capture: Digitize and manage complete DQ files with AI-powered extraction and proactive alerts across all Motive and custom templates (e.g., Motor Vehicle Record, Medical Examiner’s Certificate, employment docs, road tests, and more), including driver-level statuses (Eligible, At risk, Ineligible, Deactivated).
• Integrated MVRs: Automate statewide MVR imports with instant driving risk alerts using integrated MVR workflows, instead of relying on manual uploads and offline tools.
• Integrated Training: Streamline compliance with onboarding, periodic, and event‑driven training for your workforce. Upload or configure training content, assign modules to drivers and groups, track completion in Workforce and Reports, and use training data to support audits and safety programs.
• AI Coach: Automate driver coaching by delivering personalized, timely guidance with AI‑generated coaching videos. Send weekly AI‑generated coaching recaps to drivers, use group‑based enablement and reminders to increase engagement, and streamline coaching workflows by automatically tracking which events have been coached.
• Driver Rewards: Run data‑driven rewards programs to recognize positive performance, award points and badges, and strengthen driver engagement and retention.
• Additional Workforce metrics and reports: Access additional Workforce metrics and reports from your Overview tab, including MVR reports.

How to upgrade from the free tier to a paid WFM subscription?

You can request a paid WFM subscription directly from the Fleet Dashboard.

From the Workforce Overview tab

1. In the Motive Fleet Dashboard, go to Workforce > Overview.
2. In sections like Motor Vehicle Records, click Request upgrade to submit your request, or Tell me more to see what the paid WFM subscription includes.

From the Benefits tab

1. Go to Workforce > Benefits.
2. Review the Free tier vs paid WFM subscription comparison.
3. If you are a fleet admin, click Request upgrade. Other users can click Learn more.

After you submit a request:

• The button changes to Request submitted for that admin, and a one-time confirmation banner appears
• The upgrade status is tracked at the account level, so other admins see a consistent state
• Your Motive representative or account management team will follow up to finalize the WFM subscription and enable additional features on your account
