Password Expiration Preference

Motive’s Password Policy feature allows Fleet Managers to enforce regular password updates for all fleet user accounts. By setting custom expiration periods, fleets can automate security rotations, receive proactive reminders via email, SMS, and push notifications, and minimize unauthorized access through mandatory password resets.

Overview

Maintaining robust security standards is critical for protecting your fleet’s sensitive data. The Password Policy feature gives Fleet Managers control over account security by requiring dashboard users to refresh their passwords at set intervals (such as every 90 or 180 days).

When a password policy is active, the Motive platform handles the heavy lifting by:

  • Automating Compliance: Automatically tracking password age and prompting resets based on your fleet's specific requirements.
  • Proactive Communication: Delivering multi-channel reminders (Email, SMS, Push, and Dashboard alerts) to users before their access expires.
  • Self-Service Recovery: Providing a seamless, secure workflow for users to update expired credentials without requiring manual intervention from an Admin.

This ensures your fleet remains secure without disrupting the daily workflows of your dispatchers, admins, and managers.

Create a password expiration preference

By default, fleet user passwords may not have an expiration date. By enabling a password policy, you can require all users associated with your fleet to refresh their passwords after a set period (e.g., 90 days). This proactive measure helps protect sensitive company information. Follow these steps to set or update the password rotation cycle for your fleet:

  1. Log in to the Motive Fleet Dashboard and click the Admin icon in the bottom-left corner.
  2. Select Security & Data from the left-hand menu.
  3. Locate the Password Policy section.
  4. Click Edit (or the dropdown menu) to view your expiration options.
  5. Choose your preferred Expiration Period from the dropdown list. Common options include:
    • Never (Default)
    • 30 days
    • 60 days
    • 90 days
  1. Select the password reset reminder method.
  2. Click Save to apply the changes.
Note: Once saved, users will be prompted to change their passwords according to the new timeline you have established.

How reminders are sent

To ensure you have ample time to update your credentials and maintain access to the Fleet Dashboard, Motive sends multiple notifications before your password expires.

Pre-expiry notifications

Starting several days before the deadline, you will receive reminders through the following channels:

  • Email: An automated email is sent to your registered address with the subject "Reset your Motive password." It includes the expiration date and a direct link to change your password.
  • Push Notifications: If you have the Motive app installed on your mobile device, you will receive a push notification alert. 

  • SMS/Text Message: A text reminder will be sent to the phone number associated with your account, providing a quick link to take action. 

  • Dashboard Alerts: When logged into the Fleet Dashboard, a notification will appear in the Notifications panel (bell icon) labeled as Important, advising you to change your password to avoid losing account access.

Post-expiry notifications

If your password expires before it is updated, Motive sends a final notice:

  • Expiration Email: You will receive an email with the subject "Your account password has expired."
  • Action Required: This email contains a Create new password button. You must click this link to verify your identity and set a new password before you can log back into the Fleet Dashboard.

Reset an expired password

If your password has already reached its expiration date, you will be required to update it the next time you log in. Follow these steps to regain access to your account:

  1. Navigate to the Motive login page and enter your current email and password.
  2. Upon clicking Log In, you will see a message stating your password has expired.
  3. Check your email inbox for a message from Motive with the subject line regarding your password expiration. Click the Reset Password link inside that email.
  4. You will be redirected to the Reset password screen.
  5. Enter a New password and Confirm password. Ensure your new password meets the security requirements:
    • At least 8 characters long
    • Includes at least one letter and one number
  6. As you type, the checklist will turn green to confirm requirements are met.
  7. Click Reset Password.
  8. Once successful, you will see a confirmation message. You can then log in using your email and your newly created password to access the Fleet Dashboard.
Note: If you don't see the expiration email in your inbox, check your Spam or Junk folders to ensure the reset link wasn't filtered.
