Staying on top of maintenance helps maximize fleet uptime and reduce unexpected costs. Motive’s maintenance tools make it easy to view and manage upcoming service tasks so you can plan proactively. 

Overview

Tracking upcoming and pending maintenance ensures your fleet stays safe, reliable, and efficient. Motive provides an organized view of all scheduled tasks so you can address service needs before they impact operations.

  • Proactive service: Identify and resolve maintenance needs before they become urgent. This helps prevent breakdowns and keeps vehicles operating safely.
  • Resource planning: Allocate mechanics, parts, and vehicles in advance. This ensures that the right resources are ready when maintenance work begins.
  • Cost control: Reduce the risk of expensive, last-minute repairs and unplanned downtime. Proactive scheduling helps maintain predictable operating costs.
  • Predictive alerts: Receive notifications before scheduled services are due. This gives you time to coordinate work without disrupting fleet schedules.

Managing upcoming tasks

You can easily track and organize upcoming maintenance tasks in the Motive Dashboard to ensure services are completed on time and without disrupting operations.

  1. Log in to the Motive Fleet Dashboard, and go to Maintenance.
  2. Select the Upcoming tab to view all pending and scheduled tasks.
  3. Review the list; which shows vehicles, required services, and due dates.
  4. Click a task to view details, such as recommended service, required parts, and estimated downtime.
  5. Use filters (vehicle, service type, or due date) to prioritize or assign work.

Regularly reviewing and updating this list ensures tasks aren’t missed, and resources are used efficiently.

Adding a service note  

  1. Log in to the Motive Fleet Dashboard and click Maintenance.
  2. Click the Upcoming tab to view a complete list of vehicles and assets that require maintenance.
  3. Click the three-dot menu for any vehicle. 
  4. Click Add Service Note.

  5. Mark the all services that were completed for the selected vehicle.

  6. Add the Date, Odometer, and Engine Hours for the service completion to ensure the next reminder is accurate.

  7. Add a Note and Total Cost to keep track of additional information related to the service.

  8. Click Drag and drop to upload or browse to add any additional images or documents. The Maximum size of attachment that can be uploaded is 5 MB. You can add up to a maximum of 10 files only.
  9. Click Save.

Note: You can also add services that are unrelated to your schedule by selecting the History tab and clicking Add Service Note.

FAQ 

How are upcoming maintenance tasks determined?

Tasks are generated based on manufacturer recommendations, vehicle usage data, and any custom schedules set in Motive.

Can I get alerts for upcoming services?

Yes. Predictive alerts are sent via email or dashboard notifications before maintenance is due.

How do I add a new maintenance schedule?

1. In the Fleet Dashboard, go to Maintenance > Schedules

2. Click Add Schedule

3. Enter the service details, interval, and applicable vehicles. 

4. Save your changes to create the new maintenance schedule.

Can I assign tasks to specific mechanics?

Yes. When scheduling a task, choose a mechanic or service provider from the assignment options.

What if I miss a scheduled task?

Missed tasks are flagged as overdue so you can address them quickly.

Can I export the maintenance schedule?

Yes. Use the Export option in the Maintenance dashboard to download your schedule as a spreadsheet.
