Viewing inspection reports
- Log in to the Motive Fleet Dashboard and go to Maintenance.
- From the Inspections tab, select a report.
- View the inspection report under Inspection Details.
- Click Download to export the inspection report file as PDF.
- For bulk downloading, tick multiple or all boxes and click Download.
Viewing Inspection Reports Detail
- Log in to the Motive Fleet Dashboard and click Reports.
- Go to Inspection Reports > Inspection Reports Detail.
- Click Save to add this report to the saved reports tab for easy access.

The Maintenance History Detail Report provides Fleet Managers a holistic view of vehicle and asset health by keeping track of all vehicle and asset maintenance history and associated details.

- Go to Maintenance > Maintenance History Detail Report.
- Click Save to add this report to the saved reports tab for easy access.

Viewing Dormancy reports for assets and vehicles
The Dormancy Report provides Fleet Managers insight into the status of their various assets. We can take advantage of this information to better manage the utilization of these assets.
- Log in to the Motive Fleet Dashboard and click Reports.
- Go to Utilization > Dormancy.
- Switch between the Asset or Vehicle tab to access dormancy reports for both.
- Click Save to add this report to the saved reports tab for easy access.
- Click Export as PDF or Export as CSV to export in a format of your choice.

- Log in to the Motive Fleet Dashboard and go to Reports.
- Click Recent or View All to see all the recently opened reports.
Creating maintenance alerts
Real-time alerts keep you updated on urgent issues so you can take action quickly and minimize risks.
- Log in to the Motive Fleet Dashboard and click the Admin icon.
- Go to Alerts, and click + Create alert.
- Name the alert you are creating.
- From the Type dropdown, find the alert types listed under Maintenance.
- Select the type of alert you want to create.
- From Vehicles, click Select to assign this alert to vehicles.
- Select the Trigger range or click Custom to create a custom trigger range.
- From Recipients, click Select to choose which fleet users, drivers, or groups will receive this alert.
- Mark or unmark the checkbox for Important to set alert priority.
- Set alert frequency to Immediate or Scheduled.
- From Method, select if you want to receive this alert through Email, in-app Notification, SMS, or WhatsApp.
- Click External recipients (optional) to enter the email and phone number for any external recipients you want to send this alert to.

Which Maintenance reports are available in the Motive Fleet Dashboard?
You can access a range of reports, including Inspection Reports, Inspection Reports Detail, Logs without Vehicle Inspection Reports, Maintenance History Detail, Maintenance Reminders Detail, Vehicle and Asset Availability, and Dormancy reports.
Why can I not see Maintenance reports in my account?
Maintenance Reports are only enabled for customers on a Pro subscription plan or above. If you do not see them, contact your Motive representative to confirm your plan and feature access.
How do I view a single Inspection Report?
Log in to the Motive Fleet Dashboard, go to Maintenance, open the Inspections tab, select an inspection, and view the details under Inspection Details. You can click Download to export the inspection report as a PDF.
What does the Maintenance History Detail Report show?
The Maintenance History Detail Report shows the full maintenance history and associated details for your vehicles and assets. To open it, go to Reports > Maintenance > ‘Maintenance History Detail Report.
Which delivery methods can I use for Maintenance alerts?
Maintenance alerts can be delivered through Email, in-app Notification, SMS, or WhatsApp, depending on what you select when configuring the alert.
Can I send Maintenance alerts to people outside my organization?
Yes. When creating or editing a Maintenance alert, use ‘External recipients’ to add external email addresses and phone numbers so non-fleet users can also receive the alerts.
