Remote Tachograph Downloads

Motive’s Remote Tachograph Download solution enables fleets to remotely download driver and vehicle files using AIDC+. 

Overview

For fleets operating in the UK and Europe, Motive’s Remote Tachograph Download (RTD) solution enables them to connect their AIDC+ to compatible digital tachographs via a dedicated tachograph or FMS cable and automatically pull driver and vehicle files into Motive’s Compliance Hub. To use this solution: 

  • Active Subscription: Fleets need to have an active Fleet Management Subscription.
  • Hardware Installation: Have AIDC+ hardware installed and connected to a FMS interface or directly to the back of tacograph as per the installation guide
  • Tachograph Driver Card Assignment: Assign a tachograph Driver Card number to drivers in the Motive Fleet Dashboard. 
  • Tachograph Company Card Assignment: Enter a Tachograph Company Card in Admin Compliance setting.  Send a copy of the same Tachograph Company Card(s) to Lisle (Unit 10, Dundee Technology Park, Riverside House, 11 Luna Pl, Dundee DD2 1TP, United Kingdom) to authenticate your tachograph company card(s)

Card hosting methods 

Motive’s Remote Tachograph Download solution authenticates your company card(s) through a Lisle design’s hosted card rack to make driver and vehicle data available in the Motive Fleet Dashboard. 

To get started, add your company card in the Motive Fleet Dashboard and send a copy of your company card(s) to Lisle.

Once company cards are hosted in Lisle’s operated card rack for remote authentication, driver files are downloaded daily and vehicle files are downloaded weekly helping fleets continuously meet the 28‑day driver and 90‑day vehicle compliance requirements.

Supported tachographs 

AIDC+ is currently compatible with the following digital tachographs: 

  • VDO Gen 2.2. Gen 2.0, Gen 1.0
  • Stoneridge Gen 2.2. Gen 2.0, Gen 1.0, 

Tachograph models currently not supported:  

  • Shtrih-m 
  • Incotex
  • ATOL

Adding Company Cards 

  1. Log in to the Motive Fleet Dashboard and click the Admin icon. 
  2. Go to Compliance > Company Cards > Add
  3. Add the Company card number, Expiration date and click Save
  4. Once added, the card number appears in Company Cards. 
  5. Once your company card is added in the Fleet Dashboard, it needs to be send to Lisle for remote authentication.

Removing Company Cards 

  1. Log in to the Motive Fleet Dashboard and click the Admin icon. 
  2. Go to  Compliance > Company cards
  3. Click the three dots next to the desired company card and select Remove
Note: Removing a card will not remove previously downloaded files from Motive for the removed card.

Enabling Tachograph permissions

You can specify which Fleet Users have permission to download tachograph files and assign them to drivers. 

  1. Login to the Motive Fleet Dashboard and go to Admin > Fleet Users > Roles and Permissions
  2. Select the three dots next to the desired fleet user and click Edit. 
  3. Scroll to Compliance and mark the check boxes to Download and share tachograph files, Assign tachograph files to drivers and click Save

Assigning a Tacho driver card number to a driver 

  1. Login to the Motive Fleet Dashboard and go to Admin.
  2. Go to Drivers and click on Add Driver
  3. Go to Time Tracking > Method and select Tachograph.   
  4. Enter the Tacograph card number and click Save
  5. Once added, the card number shows next to the Driver Name/ID. 

 

Checking company card status 

  1. Login to the Motive Fleet Dashboard and go to Compliance > Company Cards > Status.  
  2. Your company card will display one of the following statuses based on its connection and validity: 
  • Connected: Your company card is installed in Lisle’s card rack. It's active and downloading tachograph files.
  • Disconnected: Your company card is not connected in Lisle’s card rack. Either the card has not been shipped to  Lisle or is currently in transit.
  • Expired: The card is no longer valid for authentication and requires renewal by the relevant regulatory authority.

 

Downloading tachograph files

Downloading tachograph files for a single driver  

  1. Login to the Motive Fleet Dashboard and go to Compliance > Drivers
  2. Locate the driver and click three dots > Download
  3. To download a single tachograph file, In the emerging window click the three dots > Download
  4. To download multiple tachograph files for the same driver mark the checkboxes and click Download

  1. Login to the Motive Fleet Dashboard and go to Compliance > Drivers
  2. Mark the checkbox next to the required drivers and click Download
  3. Select the time range from the dropdown and click Download

 

Downloading Tachograph files for one vehicle

  1. Login to the Motive Fleet Dashboard and go to Compliance > Vehicles.
  2. Locate the vehicle, click the three dots > View
  3. To download a single vehicle tachograph file click the three dots > Download
  4. To download multiple tachograph files for the same vehicle mark the checkboxes and click Download

  1. Login to the Motive Fleet Dashboard and go to Compliance > Vehicles
  2. Mark the checkbox next to the required vehicles and click Download
  3. Select the time range from the dropdown and click Download

 

Managing tachograph data retention settings 

  1. Login to the Motive Fleet Dashboard and go to Admin > Security > Data Retention > Edit
  2. In Compliance select the data retention period and click Save

 

Note: For UK and EU the default data retention period is 2 years.

For Ireland the default data retention is 3 years. 

FAQs 

Why don't I see the Compliance Hub tab by default?

The Compliance Hub only appears in the left navigation bar if you have added a tachograph company card number in your Compliance Admin Settings. We do this to ensure the compliance product is only visible to fleets that actually use tachographs. If you are a tachograph fleet, please ensure you add your company card number during the onboarding process to unlock this feature.

What happens if a download fails or a vehicle is offline?

The system retries downloads so that fleets still meet the 28‑day (drivers) and 90‑day (vehicles) regulatory requirements wherever possible.

How many company cards does a customer need?

As a rule of thumb, one company card can authenticate up to 50 vehicles for daily driver‑file and weekly vehicle‑file downloads. For example, a 200‑vehicle fleet would typically need four company card copies hosted at Lisle, each with its own card number entered in the Fleet Dashboard.

What happens to unidentified driver files?

If a downloaded driver file is not associated with a driver profile (for example, because a driver card has expired or a card number was never entered), RTD marks it as Unidentified in the Compliance Hub. Fleet users can then assign these files to the correct driver profile. 

  1. Login to the Motive Fleet Dashboard and go to Compliance > Driver.
  2. Click the three dots next to the unassigned driver’s name and click Assign.
     
  3. Select a driver form the drop down and click Assign.
     
  4. On the emerging pop-up click Assign.
     
  5. The new card number appears next to the driver name.

How do customers access DDD files in their existing tachograph analysis solutions

wIn addition to downloading and emailing DDD files from the Compliance Hub, youcan use Motive’s public APIs / endpoints to pull DDD files into any third‑party tachograph management or analysis solution your fleet already uses.
