How to use the Out-of-Service/In-Service feature on the Fleet Dashboard

    Introduction

    The Out-of-Service/In-Service (OOS/IS) feature allows fleet managers to efficiently manage vehicle maintenance status within the Motive Fleet Dashboard. This feature enhances fleet visibility by providing real-time updates on vehicle availability, ensuring streamlined maintenance tracking and operational efficiency.

     

    Steps: Using the Out-of-Service/In-Service feature on the Fleet Dashboard

    1. Log in to the Motive Fleet Dashboard and click the Admin icon on the bottom left corner.

    1. Click Vehicles.
    2. For the vehicle of your choice, click three dots.
    3. Click Edit Availability.

    1. Choose Out of service from the dropdown.
    2. Select a reason for the OOS status (reasons can be customized in Maintenance Settings).

    1. Click Confirm to save changes. The vehicle is now marked as Out of service.

    1. To change the status back to In service, repeat the above steps and select In service instead.
    2. On the Vehicles page, you can see the Availability status of the vehicle.

    Customizing OOS Reasons

    1. Log in to the Motive Fleet Dashboard and click the Admin icon on the bottom left corner.

    1. Click Maintenance from the left-hand side menu.
    2. Click Settings.
    3. Under the Vehicle Availability section, click Edit.

    1. Add or edit reasons under OOS Status.
    2. Click Save.
    3. Changes made here are reflected in the dropdown options when updating vehicle status.

    OOS/IS Mobile Prompts

    To configure mobile prompts for drivers based on vehicle OOS status:

    1. Log in to the Motive Fleet Dashboard and click the Admin icon on the bottom left corner.

    1. Click Maintenance from the left-hand side menu.
    2. Click the Settings tab.
    3. Under the Vehicle Availability section, click Edit.

    1. Enable or disable the ability for drivers to pair with an OOS vehicle.
    2. Enable or disable the ability for drivers to create an inspection for an OOS vehicle.
    3. Enable or disable custom messages for Drivers when they attempt to pair or create inspections for an OOS vehicle.
    4. Click Save once done.

    1. If messaging is enabled, the custom message displays when a Driver attempts to create an inspection or pair to an OOS vehicle.

           

        

    1. Based on the configuration, the system either allows the Driver to proceed or returns them to the previous screen.

    Vehicle & Asset Availability Report

    The Vehicle & Asset Availability Report provides detailed insights into vehicle and asset status over a given time frame. It tracks time spent in OOS and IS statuses, helping fleet managers identify frequently unavailable vehicles that may require attention.

    By leveraging this feature, fleet managers can optimize maintenance workflows, reduce vehicle downtime, and enhance overall fleet efficiency.
