Audit Log

The Audit Log in the Motive Dashboard keeps a record of actions made to your Motive account's admin view. It shows what was changed, who made the change, and when. This feature improves security, increases accountability, and simplifies troubleshooting.

Overview 

When multiple users have access to your Motive account, it’s essential to track changes that impact everyone in your organization. The Audit Log keeps a track of important actions, helping you see who made administrative updates and when.

  • Improve accountability: Quickly identify which user made updates to driver profiles, vehicle settings, or company details.
  • Boost security: Monitor changes to spot any unauthorized or incorrect updates.
  • Troubleshoot faster: Track down the source of unexpected changes.
  • Stay organized: View all major admin actions in one place, with filters to help you search.

Audit Log entry basics

Each entry in the Audit Log shows a record of a specific action. Each entry includes:

  • Timestamp: The exact date and time the action happened.
  • Fleet user: The name and email of the person who made the change.
  • Area/activity: What part of the platform was affected (for example, a driver profile, vehicle setting, or group).
  • Details: When expanded, this section shows what changed—often showing the old values and the new values. 

Viewing the Audit Log

The Audit Log is a read-only record in the Motive Dashboard that tracks actions taken by fleet users. It helps fleet admins monitor changes to user accounts, vehicle and asset settings, and company-wide configurations. This feature supports fleet security by showing who made each change, when it occurred, and what was changed, ensuring that data stays accurate and operations run smoothly.

Only users with the appropriate permissions can access the Audit Log.

  2. Click Platform and then click Audit Log.

Common Uses for the Audit Log

The Audit Log is a powerful tool for maintaining visibility and control over your fleet operations. Here are some common ways fleet admins can use it:

  • Investigating unexpected changes: If a setting is changed without explanation, use the Audit Log to identify who made the change and when.
  • Verifying user actions: Check the log to confirm tasks were completed, ensuring that processes are being followed.
  • Review regularly: Regularly review the Audit Log for suspicious activity, such as changes made outside business hours.

Searching the Audit Log

To find specific information in the Audit Log, use the filters at the top of the page. This is helpful for large fleets with many users.
You can filter by:

  • Date range: Choose a time frame to narrow the results.
  • Modified by: Select a specific person to see only the actions they performed or filter by ‘Public API’ to see all changes made via Motive's Public APIs. 
  • Area: Focus on one part of the platform, like drivers, vehicles, groups, or safety settings.

Who can see the Audit Log?

Anyone with View Audit Logs permission can view the Audit Log on the Motive Dashboard

How far back does the Audit Log keep records?

Motive stores Audit Log data for at least 6 months. This is the same for all organizations.

What’s the difference between the Audit Log and the Log Audit Report?

The Audit Log tracks changes made by fleet users in the Motive Dashboard, like editing a driver’s profile. The Log Audit Report tracks edits to a driver’s hours of service (HOS) logs, including approvals or rejections made by the driver.

What should I do if I see a change I don’t recognize?

Use the filters to see who made the change and when. Reach out to the user to confirm why the change was made. If it was a mistake or unauthorized, you can correct it. For security concerns, reset the user’s password and review their permissions right away.

Can logs be exported?

Audit Log cannot be exported from the Motive dashboard.

How long are logs retained?

Log of each change is retained for up to 6 months for a Motive account.
