    Introduction

    Motive Analytics is a powerful new tool that provides deeper insights into fleet operations by creating custom reports and dashboards and easily sharing findings with teams. It makes even complex data analysis simple and intuitive.

    Motive Analytics replaces older reporting tools with a more robust and scalable solution. This change was driven by the need to better serve enterprise customers requiring advanced analytics capabilities. It also aims to make reporting more accessible to users across all levels of technical expertise.

    Key capabilities of Motive Analytics include:

    • Visualizing data: Develop interactive dashboards with 20+ chart visualizations to track key metrics and identify trends
    • Collaborating across teams: Share reports and dashboards to foster data-driven decision making
    • Accessing data anytime, anywhere: Embedded directly into the Motive platform, Motive Analytics provides instant access to cross-platform data from a single location
    Note: Motive Analytics is currently a beta release, which means it isn't accessible for all customers yet. 

     

    Getting Started

    Accessing Motive Analytics in the Fleet Dashboard

    1. Confirm that you have the required Roles & Permissions to view and access data within the Motive Analytics hub.
    2. In the Fleet Dashboard, locate and click Reports from the left-hand side menu.
    3. Within the Reports section, click the Motive Analytics tab. This displays the Analytics hub.
    4. Once inside the Motive Analytics hub, browse through the available metrics, Reports, and Dashboards.
    5. Users with editor access can create reports from scratch and copy and modify existing content to suit specific requirements.

    Here’s an overview of the data model used in the Motive Analytics platform. It defines key data columns, their descriptions, and how they can be utilized for reporting and insights.

    Data Fields

    Safety Events

    • Coachable Safety Events: Count of safety-related incidents identified as coaching opportunities
    • Coached Safety Events: Count of safety-related incidents where coaching is completed
    • High & Critical Risk Safety Events: Count of severe safety incidents classified as high or critical risk
    • Percent Coached Safety Events: Percentage of coachable safety events that have been addressed
    • Safety Event City: City where the safety event occurred
    • Safety Event Coached At: Date of coaching completion
    • Safety Event Coached by User Name: Name of the user who conducted the coaching
    • Safety Event Coaching Status: Status of coaching for a safety event
    • Safety Event Duration (minutes): Total duration of a recorded safety event
    • Safety Event Location (Lat/Lon): Latitude and longitude where the safety event occurred
    • Safety Event Reviewed by Driver At: Timestamp when the Driver reviewed the safety event
    • Safety Event Risk Level: Severity level of the safety event
    • Safety Event Start Time: Timestamp when the safety event began
    • Safety Event State: Geographical state where the event occurred
    • Safety Event Time to Coach (minutes): Time elapsed between event occurrence and coaching completion
    • Safety Event Type: Type of behavior triggering the safety event
    • Safety Events: Total count of recorded safety-related incidents
    • Safety Events per 1,000 mi/km: Number of recorded safety events normalized per 1,000 miles/kilometers
    • Safety Score 4 Week Period: Date range for safety score calculation
    • Safety Score Compute Week: Week in which the safety score got calculated previously

    Fleet and Driver Information

    • Driver Safety Score: Overall safety performance score for a Driver
    • Fleet Account ID: Unique identifier for each Motive customer account
    • Fleet Account Name: Name of the company
    • Fleet Safety Score: Overall safety performance score for a fleet

    Compliance & Violations

    • FM Violation Description: Detailed description of form and manner compliance errors
    • FM Violations: Record of compliance-related errors in Driver logs
    • HOS Violation Description: Description of Hours of Service compliance errors
    • HOS Violation Duration (hours): Total duration of an HOS violation
    • HOS Violation End/Start Time: Timestamp when a violation ended or began
    • HOS Violations: Count of HOS regulation violations
    • Log Cycle: Designated cycle of driving and rest periods
    • Log Driving/On Duty/Off Duty/Sleeper/Waiting Hours: Total recorded hours for respective statuses
    • Log Violation Count: Total number of violations present in the log
    • Log Violation Rate: Percentage of logs containing violations
    • Log Violations: Array of all violations present in logs
    • Logs: Total count of recorded Driver logs
    • Logs with FM Violations: Number of logs with at least one form and manner error

    Geofencing Data

    • Geofence Address: Physical address of the geofence
    • Geofence Category: Category assigned to classify geofences
    • Geofence Description: Description of the geofence
    • Geofence Detention Distance/Duration: Distance traveled and time spent within a geofence
    • Geofence Name: Name of the geofence
    • Geofence Status: Current status of the geofence
    • Geofence Visits: Count of visits to a geofence

    Speeding Events

    • Is Disputed Speeding Event: Status of a disputed speeding event
    • Max/Min Posted Speed Limit: Highest and lowest recorded speed limits
    • Posted Speed Threshold: Defined speed used to trigger speeding events
    • Speeding Event Average/Max Over Speed Limit: The amount by which the vehicle exceeded the speed limit
    • Speeding Event Start/End Location (Lat/Lon): Location where the speeding event began and ended
    • Speeding Event Start/End Speed: Vehicle speed at the start and end of a speeding event
    • Speeding Events: Total count of speeding events

    Idling Data

    • Count of Idling Events: Number of times a vehicle idled
    • Idle Duration (formatted/minutes/per vehicle): Duration of idling events
    • Idle Event Start/End Time: Timestamp when an idling event began and ended
    • Idle Fuel Consumed (total/per vehicle): Fuel consumed during idling
    • Idle Location (City, State, Lat, Lon): Location where idling occurred

    Trip Data

    • Trip Average Speed: Average speed of a trip
    • Trip Distance: Distance traveled during a trip
    • Trip Duration (formatted/minutes): Total duration of a trip
    • Trip Start/End City, State, Lat, Lon: Location where the trip began and ended
    • Trip Start/End Time: Timestamp when a trip began and ended
    • Trip Status: Current status of the trip

    Manage your team’s access directly in the Fleet Dashboard Admin Panel by following the steps below:

     

    Managing Permission When Creating a New Role

    1. Log in to the Motive Fleet Dashboard and click the Admin icon in the bottom left corner.

    2. Click Fleet Users from the left-hand side menu to view the fleet users screen.
    3. Select Roles & Permissions.
    4. Click + Create Role.

    5. Scroll down to the Motive Analytics section in the Create Role screen. Choose View Access for users who need to explore pre-built reports or Manage Access for those who create and customize new content.

    6. Click Create to create this new role.

     

    Managing Permission When Editing an Existing Role

    1. Log in to the Motive Fleet Dashboard and click the Admin icon in the bottom left corner.

    5. Click Edit from the dropdown menu.

    • How do I access Motive Analytics?

    Follow the instructions above to access Motive Analytics on the Fleet Dashboard.

    • How do I create my first report?

    You can duplicate an existing report and modify it, or build one from scratch by searching your data. To build a report from scratch:  

    • Click the Create Report button in the top right corner of Motive Analytics.  
    • This opens the Custom Reports Builder with a search bar and a list of available data points.  
    • Enter your desired data points into the search bar, press ENTER, and start customizing.
    • Can I customize my reports and dashboards?

    Yes, you can customize reports by selecting the change visualization icon to choose different chart types, and use the Customize menu to adjust the display, drag and drop measure and attribute chips, and access additional settings. You can customize dashboards by repositioning and resizing visualizations, adding or removing reports, and adjusting the layout.  

    • How do I save and share reports?

    To save a report, add a title and description and click Save in the top blue bar. To share a report, you can export it in PNG, XLSX, or CSV format from the three-dot menu in the Report Library list view or directly from the report view.  

    • Can I set anomaly or threshold alerts for my reports?

    This is not currently available but is coming in the future.

     

    Reports and Data

    • What types of reports can I create?

    As of Q2 2025, Motive Analytics supports most Safety, Tracking & Telematics, and Compliance data that you’re used to seeing in the Motive Platform. Motive Analytics supports a wide variety of report types, including tables, bar charts, pie charts, line graphs, heat maps, and more. The choice of visualization depends on the data and the insights you want to extract.

    • How often is data refreshed in reports?

    Our data is refreshed every 3-12 hours and is not currently able to be real-time. Each screen should have a timestamp that displays the last refreshed date and time.

    • Can I edit or duplicate an existing report?

    Yes, you can edit or duplicate existing reports to customize them for your specific needs. This can be done from the Report Library list view or directly from the report view.

    • How do I apply filters to a report?

    You can apply filters to reports in several ways:

    • Search bar: Enter keywords to filter data.  
    • Column header/axis label: Select Filter from the column header or axis label.  
    • Report Builder: Click the Add as filter icon beside the measure in the left side menu.  
    • Chart legend: Select legend labels to toggle values on or off.  
    • Chart axes: Click the axis and select Filter to define conditions. 
    • What are measures and attributes in reports?

    Measures: Numeric values that can be aggregated (for example, sum, average, count) to generate insights, such as total miles driven or revenue.  

    Attributes: Categorical fields used to group, filter, or segment data in a report, such as vehicle type, driver name, or region.

    • Can I use custom calculations in my reports?

    Yes, you can use formulas to create custom calculations in your reports. These can be used to create new metrics or transform existing ones.  

    • What is drill-down functionality, and how does it work?

    Drill-down functionality allows you to explore deeper levels of data within a report by clicking on specific elements.

     

    Dashboards

    • What is a dashboard, and how does it work?

    A dashboard is a collection of reports displayed together in a single view, providing a comprehensive overview of key metrics and trends. Dashboards help users monitor performance, track insights, and make data-driven decisions.  

    • How do I add or remove reports from a dashboard?

    To add a report to a dashboard, open the report and click the “Pin” button in the top right corner. Select the dashboard and tab where you want to publish the report. To remove a report, go to the dashboard, click the "Edit" button, then the "More" menu (three dots) on the report, and select "Delete".  

    • Can I create multiple dashboards?

    Yes, you can create multiple dashboards to organize and monitor different aspects of your fleet data.  

    • How do I share a dashboard with my team?

    You can export dashboards in PDF format for sharing with stakeholders and team members.

     

    Data Export and Integration

    • How do I export my reports?

    You can export a report by selecting Export either from the three-dot menu in the Report Library list view or directly from the report view.  

    • What file formats are available for exporting?

    Reports can be exported in three different file formats: PNG, XLSX, and CSV.  

    • Can I schedule reports to be sent automatically?

    This is not currently available but will be in the future.

    • Does Motive Analytics provide API access for custom integrations?

    Not at this time.

     

    Permissions and Security

    • Who can create and edit reports?

    Users with Manage Access permissions can create and edit reports. 

    • How do I control who has access to reports and dashboards?

    Currently, you can control access to reports and dashboards by contacting the Motive Analytics team to configure the appropriate roles and permissions. In the future, you'll be able to manage access directly in the Fleet Dashboard Admin Panel.  

    • Can I set different permissions for different users?

    Yes, you can set different permissions for different users. There are two main permission levels: View Access for users who only need to explore pre-built reports and Manage Access for those who will create and customize new content.  

    • How does Motive Analytics ensure data security and privacy?

    Motive Analytics follows the same role-level security that your company has configured in the Admin settings.

     

    Troubleshooting and Support

    • I can’t edit this report or dashboard. What should I do?

    It may be that you only have View Access to that content. Navigate to the top right dropdown menu and select Make a Copy. This will generate a copy of the same content that you will have edit access to change further.
