The Access Controls feature in Motive Analytics is a flexible sharing model that allows users to intentionally manage access to their custom-created answers and dashboards. The sharing module enables users to assign either viewer or editor access to specific individuals or roles within their company.
Overview
Motive Analytics has flexible sharing controls that allow users to manage answer and dashboard visibility at the individual, role, or fleet level. Access controls give users granular control over visibility and editing of their custom-created content.
- Reduce Unintended Exposure: All new custom content starts in a restricted state, visible only to the creator until explicitly shared.
- Granular Access Control: Users can intentionally share content with specific individuals or roles, or with their entire fleet. Two types of access can be granted: either view access (read-only) or edit access (modify content, manage sharing).
- Scalable Collaboration: Access controls support scalable collaboration and allow users to request access via notifications and email, making it easier for teams to work together on analytics content.
Sharing Custom-created Content
- From the Analytics page in the Fleet Dashboard, users can create a new answer or dashboard or select one they previously created.
Once the answer or dashboard has been selected, users click the share icon in the upper right-hand corner.
- The share module that opens allows users to grant view or editor access to select individual users or roles. Begin typing a name or role into the search box and select the relevant user(s) or role(s) from the dropdown list.
- Use the dropdown arrow next to the search box to specify the level of access to grant.
- As a default, custom-created content is set to restricted private access, only visible to the creator.
- Access can also be updated for the entire company.
Requesting Access to Content
If a user attempts to open an answer or dashboard that they don’t have permission to view, they’ll see an error message.
- Users can request view or edit access to the answer/dashboard they are trying to view by selecting Request permission.
- Notifications for new permission requests and for new permissions granted can be found in the notification center of the web dashboard. Email notifications are also sent when a user requests access or if access is granted.
Motive-created Content
- Motive-created content is visible to any users who have the view or manage Motive Analytics permission assigned to them.
- Motive-created content cannot be edited directly, but users with the manage Motive Analytics permission can make a copy and then customize their own version.

What are the different permissions that can be granted?
- Viewer provides read-only access. Users can view content exactly as configured but cannot modify it. If users have the Manage Motive Analytics permission, they can duplicate the content they’re viewing, edit their own version, and request editor access from the owner.
- Editor access allows users to modify content, structure, filters, and visualizations. It also allows them to manage content sharing by adding or removing viewers or editors.
How are users notified when a request to view or edit content is made?
The content owner will receive a notification in the notification center of the web dashboard as well as an email.
How are requesters notified if a content owner has granted their request to access Analytics content?
The requester will receive a notification in the notification center of the web dashboard as well as an email.
How does this feature relate to the Motive Analytics permission granted by fleet admins?
- Users can have either the Manage Motive Analytics permission (to create and edit content) or the View Motive Analytics permission.
- If a user has the View Motive Analytics permission, they cannot create new content. However, if a specific answer is shared with them and they are given Editor access, they can edit that shared report even though the rest of Analytics remains view-only.
How do I share Analytics content with others?
The share icon is available in the upper right-hand corner of answers and dashboards.
Can I manage the sharing of Motive-created content?
All users with View or Manage Motive Analytics permission can view Motive-created content. Users with the Manage permission can copy Motive-created content and customize their own version.
