Documents are used in the Driver App and Fleet Dashboard to capture, organize, and share information about vehicles, trips, and operations. By offering AI-powered capture for standard documents and a custom form builder for unique needs, Motive helps organizations stay audit and roadside inspection ready and keep critical information accessible to those who need it.

- Vehicle Documents: Store, share, and monitor expiration of registration, cab card, insurance, inspection, permits, and other key documents to specific vehicles, groups of vehicles, or the entire fleet. A vehicle’s documents are automatically shared with a driver when the driver is connected via the Driver App and are cached for access when cellular connections are poor.
- Trip and Other Documents: Drivers and non-drivers can upload bills of lading, proof of delivery, fuel receipts, scale tickets, accident reports, and other key information about a trip, a job, or general work of the organization with the ‘other’ category. Images, documents, structured information, and signatures can be captured to ensure complete documentation is shared internally and externally if desired.
- Fuel Reporting: Fuel receipt uploads are integrated to the Fuel hub for IFTA and Fuel Purchase reporting.
- AI Document Capture: Motive provides templates for Vehicle and Trip documents that are enabled with AI to automatically extract key details from uploaded files, eliminating manual data entry and improving data quality.
- Customizable Templates: Enables teams to create and manage custom document templates with configurable fields, conditional logic, required items, and photo capture so documents can capture precisely what an organization needs. Fleets can specify which drivers or groups of drivers may use a template.
- Upload and Expiration Alerts: Set alerts for documents that are uploaded or documents that are expiring to prompt organizational workflows.
- Flexible Management: Supports storing, viewing, editing, filtering, downloading, and sharing of documents individually or in bulk, ensuring the right people always have access to the latest information.
