Document templates enable administrators to standardize data collection across the fleet, ensuring consistency and compliance. Document template visibility allows administrators to manage which templates are accessible to specific groups and drivers in the Driver App. Effective template management reduces errors, supports compliance, and makes forms easier for drivers to complete.
Overview
This feature in the Motive Dashboard allows fleet users to specify which drivers or groups can see a document template or driver qualification document template in the Driver App. This new functionality gives fleets more control over what their drivers see and helps them ensure drivers submit the correct documents.
Template visibility management in list view
- From the Motive Dashboard, go to Documents > Templates option from the left-hand navigation menu.
- The Visible to column specifies Driver App visibility for each template.
Click the three dot menu and go to Manage visibility.
Managing document template visibility while creating or editing
- Select New Template from the Documents hub to create a new template, or select Edit Template from the menu associated with an existing template.
- Under the Details section, select Visibility and select groups or individual drivers.
- Click Save on the Visibility modal to save your selection.
- Save within the Template builder to confirm your changes.
Managing template visibility for driver qualification documents
- From the Motive Dashboard, select the Workforce > Template option from the left-hand navigation menu.
- Users will see a column called Visible to that specifies Driver App visibility for each template.
The three-dot menu associated with each template can be used to manage visibility.
Template visibility of Driver Qualification Documents in the Driver App can also be edited directly within the template builder. Follow the steps in the section above.
FAQ
What happens when I deactivate a template?
The template disappears from the Driver App for new submissions. Existing documents remain accessible in the dashboard.
Are there file type restrictions for attachments?
Standard image and document types are supported. Each file must be under 35 MB.
Can I edit a template that’s already published?
Yes. Edits apply to new documents created after the change. Existing submissions remain unchanged.
