Alerts can be viewed at a summary level and in detail so that fleet administrators can understand the trigger, recipient, and delivery settings for any alert. This transparency allows fleet administrators to ensure that the right people get the right alerts.
Overview
The Alerts section in the Motive Dashboard provides a centralized location for alerts that have been set. The summary and detail alert views help fleet administrators ensure that their alert settings are optimized for their business needs.
- Summary: All alerts are displayed in a table that can be searched and filtered by alert type and whether an alert is active. Each row provides a quick look into the entities that can trigger an alert, recipients that can receive an alert, when it was last sent, and whether the alert is still active.
- Alert details: Clicking an alert from the table opens the alert details. Here, the trigger, recipient, and delivery settings can be viewed along with information on when the alert was created and modified. A preview of the alert may also be launched so that an administrator can see what a recipient will see. Alert settings may be edited from the alert details.
- Preview: The content of a representative email, notification, SMS, and WhatsApp alert message can be previewed in the alert details.
Alert summary table
Fleet admins can access the alert summary table in the Motive Dashboard by navigating to Admin>Alerts. This centralized list allows administrators to verify key settings, observe recent activity, and launch into a detailed inspection or edit.

Name/Category-Type:
- The Category of an alert is a collection of similar alerts, such as Compliance or Tracking. There can be many different alert types within a single category.
- The type of alert is defined by its available settings, such as Speeding over Posted. Fleets may set multiple alerts of a given type.
- The name of an alert is unique–there can only be a single name for a given alert.
- Entities: the drivers, vehicles, assets, and groups that have been set to trigger an alert.
- Recipients: the fleet users, fleet user roles, and external recipients that have been set to receive an alert. If drivers have been set to receive an alert, the word “driver” will be shown.
- Last sent: the date and time that this alert was last sent to any recipient. For new fleets or those that have just had this feature enabled, the column will only display the timestamp of alerts on a go-forward basis.
- Status: The status “Active” means the alert is on and may be triggered and sent if conditions are met. The status “Inactive” means the alert is off.
- Menu: the 3-dot menu allows for an alert to be viewed in detail, copied, deactivated, or deleted.
| Note: Each alert that is triggered will only be sent to the recipients who are eligible to receive that alert. Eligibility of alert recipients for a given alert is determined at the time of trigger to ensure that any personnel changes that have been updated in Motive (such as changing the group that a fleet user’s role may access) are taken into account before an alert is delivered. |
View alert settings
The settings of an alert can be viewed by clicking on a row or from the 3-dot menu at the right of the table. The settings show specific information about what triggers the alert, the recipients that can receive the alert, the delivery methods enabled, and other alert-specific settings. Each of these settings can be edited by clicking Edit:
- Name: The unique name given by a fleet administrator to an alert
- Trigger: The drivers, vehicles, assets, and groups that have been set to trigger an alert and the unique settings that define the alert, such as timeframe, geofence, severity, and more.

Recipients:
- Fleet users: the fleet users, fleet user roles, and external recipients that have been set to receive an alert. If a specific fleet user has been excluded from receiving an alert, their name will be shown.
- Drivers: If the checkbox for “Notify relevant driver” has been selected, this will show.
- External recipients: email addresses and phone numbers that have been designated to receive email and SMS messages

- Frequency: the selection of immediate or scheduled
- Method: the selection of email, notification, SMS, and WhatsApp

Created/modified:
- Created: the user and timestamp that initially created the alert. If an alert was created as a default setting when the Dashboard is set up for a fleet, the creator will be Motive.
- Modified: the user and timestamp that last edited the settings of the alert
Alert preview
A preview of the text of a notification, email, SMS, or WhatsApp alert is available by clicking the Preview button when viewing an alert. Each delivery method has slight variations based on the frequency and whether the recipient is a driver, fleet user, or an external entity. A single example of each method is shown.
FAQs
What are the best practices for setting up alerts?
Alerts are most scalable and require the least maintenance when they are set to trigger for All drivers, vehicles, or assets. Recipients should be selected using roles (for example, Safety Manager or Compliance Manager) so alerts are always routed to the correct users based on their profile. This eliminates the need for fleet admins to manually maintain recipient lists as personnel change.
Can drivers get alerts for the activities of other drivers or vehicles they are not connected to?
No. When the Notify relevant driver option is enabled, alerts are sent only to the driver who triggered the alert or the driver associated with the vehicle or asset involved. Drivers cannot receive alerts for other drivers, vehicles, or assets they are not connected to.
Can fleet users get alerts for drivers or vehicles from groups that they cannot view?
No. Fleet users receive alerts only for drivers, vehicles, or assets within the groups assigned to their role. If an alert is triggered by a driver in Group A, only fleet users whose roles are associated with Group A will receive that alert.
Who has access to view alerts in the Motive Dashboard?
Any fleet user with the Manage Alerts permission can view and edit all alerts created in the Motive Dashboard.

Will drivers see these alerts in their app?
Yes. Alerts can be configured to notify drivers using the selected delivery method, including Notification, which appears in the Motive Driver App.
Why does an alert received by my fleet look different from the alert shown in the Preview?
The alert preview shows a representative example of each communication method. Actual alerts are customized based on the recipient type (driver, fleet user, or external user), whether the alert is immediate or scheduled, and whether it is marked as important.
