Configuring maintenance settings in Motive's platform ensures your fleet’s maintenance workflows align with your operational policies. Proper setup streamlines compliance, communication, and efficiency across your fleet.
Overview
Maintenance settings let fleet managers customize inspection forms, manage vehicle availability, and control integration and user permissions. These settings give you the flexibility to design processes that meet your fleet’s specific needs.

Customizing settings & permissions
To access maintenance settings:
In the Fleet Dashboard, go to Admin > Maintenance > Settings.
To configure user permissions:
- Go to Admin > Fleet Users > Roles & Permissions.
- Click Options for the desired fleet user.
Click Edit.
In User Permissions, assign access levels for viewing or editing maintenance settings.
Customizing inspection settings
To set up inspection form templates:
Under Inspection Templates, click Create Inspection form.
- Select the inspection form type.
- Enter the form name.
- Choose between a ready-made or blank template.
Click Create.
Select the form requirements using the dropdowns in General settings. Enable safety prompt to require drivers to mark the vehicle or asset as Safe or Unsafe to drive at the end of their inspection.
- Check the desired boxes in the Inspection form fields.
- In Parts, add vehicle parts the driver has to inspect.
- In Driver signature, add the driver declaration.
Click Save to make the template available to drivers.
To require pre- and post-trip inspections:
- Go to Maintenance > Settings.
Click Edit.
Check the box for Pre-Trip Inspection Required or Post-Trip Inspection Required.
Customizing vehicle settings
To manage vehicle availability and OOS (out of service) options:
- Go to Admin > Vehicle.
Click the three dots on the desired vehicle and select Vehicle Availability
Click the dropdown to allow or prevent drivers from connecting to OOS vehicles.
- Click the drop-down to customize available OOS reasons for drivers.
- Set up a message for drivers when marking a vehicle as out of service.
- Click Confirm.
Enabling drivers to complete pre-trip and post-trip inspections
Fleet Admins can enable drivers to complete pre-trip and post-trip inspections from the Fleet Dashboard.
- Log in to the Motive Fleet Dashboard and click the Admin icon.
- Go to Maintenance > Settings.
From the General section, click Edit.
- Mark the boxes for Require drivers to complete a pre-trip inspection and Require drivers to complete a post-trip inspection.
Click Save.
FAQs
Who can access and modify maintenance settings?
Only users with Admin or Manager permissions can edit maintenance settings.
Can I require different inspection forms for different vehicle types?
Yes, you can create and assign unique inspection templates to each vehicle type.
Can I set a minimum required time for drivers to complete a pre-trip inspection?
No. Motive does not have a setting to enforce a minimum duration for pre-trip inspections. FMCSA rules require that inspections be performed and documented, but they do not mandate a specific number of minutes, and Motive does not time-enforce DVIRs. You can require that Pre-Trip inspections be completed and then use Inspection reports to review timestamps and coach drivers if inspections appear unrealistically short.
