Managing Vehicle and Asset ID Reporting for Motive Card

Fleets can mandate capturing of Vehicle IDs against Motive Card transactions using the Fleet Dashboard. This feature helps Fleet Admins and Fleet Managers to organize their Fleet expenses and spend appropriately using the Motive Card. 

This feature is applicable only to cards assigned to drivers, not cards assigned to vehicles. 

Enabling and Disabling Vehicle ID Reporting for the Motive Card 

Permissions for Vehicle ID Reporting 

1. Log in to the Fleet Dashboard and click the Admin icon at the bottom left corner.

2. Click Fleet Users from the Organization dropdown in the left-hand side menu. 

3. Click the Roles and Permissions tab.

4. Click Options in the Actions column on your required Fleet User

5. Click Edit from the dropdown menu.

6. The Edit Role screen displays. Scroll down to the Cards section and click the checkbox of Card Management and Manage Configuration

7. Click Save at the top right corner.

The selected Fleet User can now enable or disable the Vehicle ID Reporting feature. 

Enabling Vehicle ID and Asset ID reporting

1. Log in to the Fleet Dashboard and click the Admin icon at the bottom left corner.

2. Click Cards under PRODUCTS dropdown on the left-hand side.

3. Click Edit for Transaction Requirements under the Settings tab.

4. Select the checkbox for Require Vehicle ID or Asset ID.

5. Select the checkbox of Allow Vehicle ID and odometer to auto-populate if drivers as connected to Vehicle Gateway to auto populate.  

6. Select the checkbox of Accept information provided by cardholders without validation.   

7. Click Save.

Note: This setting applies only to cards assigned to drivers, not cards assigned to vehicles.

Now, capturing the Vehicle ID or Asset ID against transactions is enabled for all the Motive Cards in the Fleet. 

Once enabled, Drivers receive an SMS or a notification to select a vehicle from the Driver App or SMS before using the Motive Card.

Once a Driver selects a vehicle from the Driver App or provides a vehicle ID via SMS, all transactions made in the next thirty minutes are tagged to the specified vehicle. After thirty minutes, the Driver needs to select a vehicle again. 

Note: The Vehicle ID Reporting is only enabled for Drivers having the Motive Driver App version 63.0 or higher, or if their mobile number is available in the system. 

 

Note: If this feature is enabled, cardholders either need to be connected to the Vehicle Gateway, or they need to log in to the Driver App and select a vehicle, or they need to provide a vehicle ID via SMS before making a Motive Card transaction, otherwise the transaction gets immediately declined. 

Disable Vehicle ID or Asset ID reporting

1. Follow the steps from 1 to 3 from the Enable Vehicle ID Reporting section

2. Uncheck the checkbox for Require Vehicle ID before every transaction

3. Hit Save.
