What is Transaction Soft Decline?

    Introduction

    The Transaction Soft Decline feature ensures the Motive Card remains active while preventing unauthorized transactions. When a transaction is performed and auto-declined, Drivers receive a review notification, enabling them to approve the next transaction at the same merchant within one hour. In case of a rejected transaction, the Motive Card gets frozen, and only the Fleet Admins can unfreeze it. This approach reduces unnecessary declines, improves user experience, and shifts transaction responsibility to Drivers while maintaining security.

     

    Accept/reject transaction via SMS

    Once a Motive Card transaction is performed, the Driver receives an SMS to verify the transaction.

    1. Open the Messages application on the mobile device and review the transaction details.

    2. Respond with Y to confirm or N to reject the transaction.

    3. If the transaction is approved, the card can then be used for the purchase at the same merchant within one hour.

    4. If the transaction is rejected, the card gets frozen.

    Accept/reject transaction via the Driver App

    Once a Motive Card transaction is performed, the Driver receives a notification to verify the transaction on the Driver App.

    1. Tap the notification on the mobile screen to open the Driver App.

    2. Tap the transaction displayed on the Driver App Notifications screen to view details.

    3. On the Suspicious Activity page, review the transaction details and tap the required option at the bottom of the screen to accept or reject the transaction.

    4. If the transaction is approved, a pop-up displays a confirmation message indicating that the Driver is permitted to perform the transaction now at the same merchant within one hour.

    Accept/reject transaction via the Driver’s email

    Once a Motive Card transaction is performed, the Driver receives an email to verify the transaction.

    1. Click the required option in the email to accept or reject the transaction.

    If the transaction is approved, the Driver is redirected to the confirmation screen displaying that the card is now permitted to be used for the purchase at the same merchant within the next hour.

    2. If the transaction is rejected, the Driver is redirected to the Card frozen web page.

    Transaction status updates on the Fleet Dashboard

    1. Log in to the Fleet Dashboard and click Cards in the left-hand side menu.

    2. Click the Transactions tab.

    3. Use the filters to Search for the required auto-decline transaction that Drivers can accept or reject using the Transaction Soft Decline feature.

    4. Click to open the transaction to view its Status.

    5. If it's not yet verified by the Driver, it displays the Auto-declined message.

    6. If the transaction is approved by the Driver, it displays the confirmation message.

    7. If the transaction is rejected, it gets flagged and displays the Suspicious activity status.

    Unfreeze the card using the Fleet Dashboard

    Once the Driver rejects the transaction, it immediately freezes the used card.

    1. To unfreeze the card, log in to the Fleet Dashboard and click the Admin icon in the bottom left corner.

    2. Click the Products dropdown.

    3. Click Cards from the dropdown menu.

    4. Click the Card Management tab.

    5. On the frozen card, click the three dots on the right-hand side of the screen.

    6. Click Unfreeze card from the dropdown.

    7. A pop-up displays for confirmation, click Unfreeze.
