Creating and managing driver profiles in the Motive Dashboard is essential for compliance, accurate records, and smooth operations. This article explains how to add, edit, and manage driver profiles and settings.
Overview
The Motive Dashboard gives you full control over driver profiles to ensure compliance with federal regulations and improve fleet operations. Accurate profiles ensure hours of service (HOS) tracking, simplify dispatch, and improve communication.

Basics
Driver profiles are key for assigning compliance rules, linking Motive devices, and maintaining accurate logs. They ensure driving activity is connected to the correct driver, supporting data tracking and accountability. This section also allows users to manage settings, app access, and safety performance from one location. Fleet Admin or Fleet Manager permissions are required for these tasks.
Creating driver profiles
Authorized users can add drivers individually or in bulk from the Motive Dashboard.
Adding a single driver

Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
- In the Organization menu, select Drivers.

Click the + Add Driver button in the top-right corner.

In the General section, enter the personal information of the driver. Then, add the Contact & Login details.

Enter Time Tracking details such as Method, Home terminal time zone, and Odometer information. If Logs is selected as Method, you need to enter additional information, such as DOT authority, Carrier name, Main Office Address, and Home Terminal Address. If Timecard is selected as the Method, you need to add an Exempt reason from the dropdown menu.
- Enter the driver’s license number and select the issuing state. This is required for ELD compliance. In addition, if Timecard is chosen as the Time Tracking Method above, you can also assign a vehicle to a driver after the Driver’s License section.
- Add Groups if required.

You can also assign an ID Card to the driver.

Click Save to create the profile. The driver will receive an invitation to download and log in to the Motive App.
Bulk importing multiple drivers

From the Drivers page (Admin>Organization>Drivers), click the dropdown next to Add driver and select Bulk add and edit.
- Select Add new drivers.
- Download the XLSX template file provided.
- Fill out the template with the information for all the drivers you wish to add.
- Mandatory fields include name, username, email, password, time zone, compliance mode, and primary cycle.
- Extract a CSV file for your data.

Upload the completed CSV file and click Upload. The system will process the file and create profiles for all valid entries.
Adding a driver with mobile phone or tablet
Open Google Chrome on your mobile device and search www.gomotive.com.
Tap the menu icon on the top right side and tap Login at the bottom.
Enter your Motive Fleet Dashboard login credentials. Once logged in, tap on the menu icon on the top left side.
Tap on +Quick Actions.
Tap Add a Driver.
Fill in the driver's information.
Tap Save.
Editing driver profiles
You can update a driver's information at any time in the Motive Fleet Dashboard.
Editing a single driver profile
- Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.
- In the Organization menu, select Drivers.

Find the driver in the list. Click the three-dot menu next to their name and select View driver.

Go to your desired section and click Edit. Make any necessary changes to the driver’s details.
- Click Save to apply your changes.
Bulk editing multiple driver profiles
- On the Drivers page, check the boxes next to the drivers you want to update.

Click the Edit button that appears at the bottom.
- In the menu that follows, choose a setting to update and provide new values/configurations.

Click Save to apply the changes to all selected profiles.
Bulk editing the terminal time zone for multiple driver profiles
- Log in to the Fleet Dashboard and go to Admin > Organization > Drivers.

Mark the checkbox next to the desired Drivers from the list and click Edit.
- From Available settings, select the home terminal time zone to move it to Selected settings.

Once it is in Selected settings, click the dropdown below Home terminal time zone, select the desired timezone, and click Save.
Bulk editing multiple driver profiles using a spreadsheet
- From the Drivers page (Admin>Organization>Drivers), click the arrow beside the Add driver button.

Select Bulk add and edit.
- Select Edit existing drivers.
- Pick the specific drivers you need edited on the modal that follows after clicking ‘Edit Drivers.xlsx Template’ button.
- Download the XLSX template file provided. This will carry all editable data for your selected drivers.
- Modify whatever needs to be changed on the spreadsheet.
- Extract a CSV file for your data.
- Upload the completed CSV file and click Upload. The system will process the file and make the changes as per your provided data.
Accepting a pending driver request
When a driver creates a profile, Fleet Admins get a notification on the Fleet Dashboard for whether the admin wants to approve or reject the driver. Without approving the request, the driver cannot connect with the ELD.
- Log in to Fleet Dashboard and click the Admin icon.
- Go to Drivers > All Drivers.
- The Status for drivers with unapproved requests shows Pending.

Click the three-dot menu and select Approve or Reject.
Assigning a driver to a vehicle

Log in to the Fleet Dashboard and click the Admin icon.
Click Drivers.
Select the driver profile you want to assign the vehicle to and open its three-dot menu.

Click View driver.

Scroll down to Vehicle Assignment section and click Edit.
- Click Assign.

Select the Vehicle from the list using the search bar and click Assign.
8. Once you see your selected vehicle listed under Vehicle Assignment, click Save.
| Note: This functionality is only available for Drivers that are set up as Not Required to Log. Once assigned, all trips on this vehicle are associated with the Driver. Drivers who are required to log under the ELD mandate must connect to the Vehicle Gateway for compliance. |
Deactivating drivers from the company
| Note: The deactivated Drivers will no longer be able to access the Motive Driver profile, but Fleet Managers will still be able to view their past logs, documents, and loads. |

Reactivating a driver profile

Log in to the Fleet Dashboard and click the Admin icon.

Click Drivers.

Open the filter for Status and click Clear or Deactivated to see all deactivated driver profiles.

Select the driver profile you want to reactivate and open its three-dot menu. Select Re-Activate.

The driver details screen opens. Click the three-dot menu and select Reactivate.
- A pop-up message appears on screen confirming the reactivation. Once reactivated, review all the details mentioned.

Creating and assigning Driver Walkthroughs
Fleet Admins can create and assign a walkthrough from the Fleet Dashboard. Below are steps that you can follow to create and assign one.
Create a Driver Walkthrough

Log in to the Motive Fleet Dashboard and click the Admin icon.
Go to Driver App > Driver Walkthrough.

Click Create Walkthrough.

From the Create Walkthrough screen, select the Trigger Type for when you want this walkthrough to appear for the Driver(s).

If Location-based is your Trigger Type, click Select to add geofence information.

Check the boxes for the geofences you want to select and click Save.

Specify the intended use for the walkthrough based on the driver's time tracking method.

Select the necessary Lock to define activities that cannot be performed before the completion of the walkthrough. This provides an enforcement mechanism.

Name the walkthrough and start dragging and dropping tiles from Walkthrough Actions to the middle.
Every Walkthrough Action added will appear under the Walkthrough Details section.
You can check the box for Mark as required action to make the selected action mandatory to complete the walkthrough.
Click the Preview arrows to see how the walkthrough appears in the Driver App.

Assign a Walkthrough

Log in to the Fleet Dashboard and click the Admin icon.
Click Drivers.

FAQs
What is the difference between a log required and logs not required driver?
A log required driver must follow ELD regulations and maintain a record of duty status. Their profile includes full HOS compliance settings. A logs-not-required driver is exempt from HOS regulations and has a simplified profile setup.
How do I deactivate a driver who has left the company?
- In the Motive Dashboard, go to Admin>Drivers.
- Find the driver you want to deactivate.
- Click the three dots menu next to their name and select Deactivate.
- Confirm the deactivation when prompted.
The driver will no longer have access to the platform, but their past data will be saved for reporting and compliance.
Can I update settings for multiple drivers at once?
- In the Motive Fleet Dashboard, go to Admin>Drivers.
- Use the checkboxes to select the drivers you want to update.
- Click Edit at the bottom.
- Choose the setting you want to update and apply the new value.
- Click Save to apply the changes to all selected profiles.
This bulk edit feature lets you update settings across multiple profiles at the same time.
What happens if I try to add a driver with an email that is already in use?
An email address can only be linked to one Motive account. If it’s already in use, you can:
- Use a different email address for the new driver.
- Ask the driver to get their previous account deactivated.
- Create the new profile using a unique username without an email.
Why are a driver's logs showing incorrect HOS violations?
This usually means the driver’s compliance settings are incorrect. Review the driver’s profile to make sure the assigned HOS cycle, rest break exceptions, and special duty status permissions match their role and operations.
Can I add a driver to the Fleet App?
No, a driver cannot be added through the fleet app. Fleet admins and fleet managers have to add a driver through the fleet dashboard.
How can I add a driver when their email is already taken?
When adding a driver to your company through the Motive Fleet Dashboard, you may encounter an issue where the email is already in use. This typically means the email is associated with the driver’s previous account.
The driver's email is already taken because it is tied to their previous account. Since a single email address can only be used for one account in Motive, you have the following options:
Use an alternate email
- If the driver has a secondary email address that has never been used with Motive, you can use it to create the new driver profile.
Release the email from the previous account
- If the driver is no longer with their previous company and wants to use the same email:
