Create and Edit Assets

Assets in the Motive Dashboard refer to non-powered equipment like trailers, containers, or heavy machinery. Accurately managing assets is key to tracking location, improving equipment use, and generating reliable reports. This guide explains how to create, edit, and manage asset profiles and their settings to support efficient fleet operations.

Overview 

Managing assets effectively helps you get more value from your equipment and run your operations smoothly. Keeping asset profiles updated gives you real-time visibility into trailers, containers, and other non-powered equipment. The Motive Dashboard makes it easy for authorized users to track assets, reduce risk, and improve performance.

Basics

Asset management in the Motive Dashboard involves creating and maintaining profiles for your equipment, such as trailers. These profiles help you protect your equipment and improve daily operations.

These tasks are typically handled by fleet managers with admin permissions or other authorized users who are allowed to manage asset profiles.

Creating an asset profile

You can add assets to your fleet one at a time or import multiple profiles using a spreadsheet. Each asset should be linked to a Motive Asset Gateway for GPS tracking.

To add a single asset:

  1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.

  2. Click Assets.
  3. Click the + Add Asset button in the top-right corner.

  4. In the General section, enter a unique Asset ID and select Inspection Form from the dropdown menu. You can also enter optional details like VIN and Group.
  5. In the Asset Details section, choose an Asset Type from the dropdown menu. Add Make and Model information.

  1. If your equipment type isn’t listed, select Other and enter a custom name. You can also add optional details like Length, Axles, GVWR, GAWR, License, Ownership, and Notes. Details like these can be located on your trailer registration plate or trailer ID tag.

  1. Scroll to the Data Source section and click + Assign Asset Gateway.

  1. From the list, select the gateway by matching the serial number to the installed device. Click Assign.

  1. In the Power Settings, toggle on the Unpowered Mode if the asset is located in a place without access to cable or solar power. Use this mode to track assets equipped with an Asset Gateway installed in low-power locations.

  1. Set the Odometer reading and Lifetime Engine Hours if applicable.

Editing an asset profile

You can update asset details at any time in the Motive Dashboard.

To edit a single asset profile:

  1. Go to Admin > Organization > Assets.
  2. Find the asset in the list. Click the Options button in its row and select Edit Asset.

  1. On the Edit asset page, update details in the GeneralAsset Details, or Data Source sections.
  2. Click Save to apply your changes.

Creating asset profiles in bulk

  1. Log in to the Fleet Dashboard and click the Admin icon.

  2. Click the Add Assets dropdown and select Bulk add and edit.

  1. Click Add new assets in the Upload assets section. 
  2. Click to download the Add Assets template.

  1. List down all asset data in the provided template and convert the template sheet into a .CSV file to upload to the Fleet Dashboard. Once converted, drag and drop the file into the blank box. 
  2. Select Upload.

  1. After importing, the upload history screen displays the success or failure of the import.

Editing asset profiles in bulk using check boxes

  1. Go to Admin > Organization > Assets.
  2. In the Assets page, check the boxes next to the assets you want to update.
  3. Click the Edit button at the bottom of the screen.

  1. Under Available settings, choose which settings to apply to the selected assets.
  2. Click Save to apply the updates.

Editing asset profiles in bulk

  1. Log in to the Fleet Dashboard and click the Admin icon.

  2. Click the Add Assets dropdown and select Bulk add and edit.

  1. Click Edit existing assets in the Upload assets section to download an empty spreadsheet template. 
  2. Fill in the details of the assets you want to add and save the file in a .CSV format.
  3. Place the file in the drag-and-drop box.
  4. Click Upload.

Assigning Asset Gateways

A Motive Asset Gateway (AG) is a hardware device that provides real-time information on the location, status, and condition of a company's fleet assets, such as trailers and other equipment. The asset profile is where you assign purchased Asset Gateways and configure advanced settings to track and protect your equipment.

To reassign an Asset Gateway:

  1. Go to Admin > Organization > Assets 
  2. Go to the desired asset profile from the list and click the three dots, and select Edit Asset.

  1. In the Data Source section, click Remove next to the current Asset Gateway.

  1. Click + Assign Asset Gateway and select the new gateway from the list by matching its serial number.

  1. Click Assign to complete the reassignment.

To unassign an Asset Gateway:

  1. Open the asset’s profile from the Assets page.
  2. In the Data Source section, click Remove next to the current Asset Gateway.
  3. Save the profile to remove the gateway from the asset.

Advanced settings

Geofence alerts

Create geofences around key locations like yards, job sites, or customer facilities. Motive will send alerts when an asset enters or exits these virtual boundaries, helping you detect unauthorized movement and improve asset security.

Utilization monitoring

Use the Asset Gateway’s location and movement data to monitor how equipment is being used. Review asset history reports to identify underutilized equipment and improve overall efficiency.

To optimize asset management and improve fleet performance, follow these best practices:

  • Audit profiles regularly: Review asset details to ensure accuracy and that Asset Gateways are properly assigned and reporting.
  • Use groups for organization: Group assets by location, type, or operational unit to simplify bulk edits and reporting.
  • Set up geofences: Create geofences for key locations to get alerts when assets move in or out of these areas, improving security and visibility.

What is an asset?

How do I move an Asset Gateway from one asset to another?

  2. Find the asset the gateway is currently assigned to and click Options > Edit Asset.
  3. In the Data Source section, click Replace.
  4. Choose a new Asset Gateway to assign.
  5. The original Asset Gateway will now be available for use with another asset.

 

What should I do if my asset’s location isn’t updating?

 

  1. Make sure the correct Asset Gateway is assigned in the asset’s profile.
  2. Move the asset outdoors to ensure a clear view of the sky for a better GPS signal.
  3. Try rebooting the Asset Gateway by pressing the reset pinhole for 10 seconds.
  4. If the issue continues, contact Motive Support.
