Group Invoicing

Group Invoices help large customers segregate and manage expenses across multiple departments, locations, or business units. Enabling invoice segmentation ensures financial clarity and localized control. 

Overview

Group Invoices allow fleets to create and manage these Invoice Segments, enabling localized financial control and clearer visibility into spending across the organization.

  • Invoice Segmentation: Customize payment methods and billing contacts for each segment to support localized financial management.
  • Targeted Reporting: Access unique reporting views per segment to track and analyze spend accurately.
  • Clear Attribution: Easily associate Motive Card spend with the right segment, ensuring transparency and simplifying accounting workflows.

Adding an Invoice Segment 

  1. From the Fleet Dashboard and go to Admin> Cards > Settings
  2. In the Billing section, click Add > Invoice Segment.

  3. Add a Segment name, select a Payment method, add a Billing contact, and click Create.

Note: Invoice Segments cannot be deleted at the moment.  

Adding a single Card to Invoice Segments

  1.  From the Fleet Dashboard and go to Admin > Cards > Card Management
  2. Click the three dots next to the desired card to add a single card to an invoice segment and select Change invoice segment.

  3.  Select the Invoice Segment from the drop-down and Confirm change once done.

Adding Cards to Invoice Segments in bulk

  1. From the Fleet Dashboard and go to Admin > Cards > Card Management.
  2. Select the checkbox on the left of the desired cards, click the three dots on the  and click Change invoice segment.

  3. Select the Invoice Segment from the drop-down and Confirm change once done.

Viewing Billing for Invoice Segments 

  1. From the Fleet Dashboard and go to Admin > Cards > Billing
  2.  In the Payments section, Autopay is enabled. 
  3. In the Account Billing section, click the download icon next to the desired Invoice.

  4. The primary invoice reflects the spend breakdown and transaction activity per segment.

    Note: Once Invoice Segments are enabled in an account, customers can not make manual payments and must have Autopay active. 

FAQs

Are invoice segments available for all Motive Card accounts?

This feature is not available for all customers. To enable it, contact Motive Customer Support.

Can I make a manual payment if I have invoice segments?

Once Invoice Segments are enabled in an account, customers can not make manual payments and must have Autopay active.

Can I delete an Invoice Segment?

At the moment, Invoice Segments cannot be deleted
