Users with Dual Roles

Introduction

This enhancement allows organizations to associate a Driver account and a Fleet User account with the same email address so the same person can log in to the Motive Dashboard and Driver App with one set of credentials.

This is especially useful for dual-role users such as fleet managers, dispatchers, supervisors, or owner-operators who also drive vehicles, complete driver workflows, test equipment, or fill in for drivers as part of day-to-day operations. These users need access to both the administrative workflows in the Dashboard and the in-motion workflows in the Driver App without managing separate logins for each role.

By supporting separate but linked accounts, Motive also reduces login friction, especially for companies using Motive’s Single Sign On offering to log in as both a manager and a driver using the company email address.

What’s New?

  • Shared email across roles: Admins can now connect a Fleet User profile and link that to a new or existing driver profile for dual-role use cases. Broad setup support: This association is supported across all user management workflows, including dashboard, APIs, Bulk Imports, and Directory Sync (SCIM).
  • Automatic account matching: When the second profile is created, or when an existing profile is updated to use the same email address, Motive detects the match and prompts the user to connect the two profiles.
  • Separate accounts for compliance: The Fleet User and Driver accounts remain separate even though they share login credentials.
  • Simplified password management without SSO: For organizations that do not use SSO, users only need one password across both roles, and password changes must be made from the primary fleet user account.

How does this help our customers?

  • Easier access: Simplifies access for dual-role users by allowing them to use one email address across the Motive Dashboard and Driver App.
  • Better IT and SSO alignment: Supports enterprise IT and SSO requirements by allowing the shared email address to work with the organization’s identity provider.
  • Smoother account setup: Reduces account setup friction by supporting the feature across Web UI, APIs, Bulk Imports, and Directory Sync.

Note:

  • For SSO-enabled organizations, the shared email address must be synced with the company’s identity provider, such as Okta or Azure, before dual roles can be used.
  • Even when both roles share the same login credentials, the Fleet User and Driver accounts remain separate.

FAQs

What are users with dual roles?

Users with dual roles are Fleet Managers or Fleet Admins who also need access to a Driver account and want to share a single email address between both accounts.

What is the primary benefit of this feature?

The primary benefit is that dual-role users can use one email address for both their fleet user login and Driver App login, which improves compliance with IT policies and streamlines access.

Does this merge the fleet user and driver accounts?

No. The accounts remain separate in the system, but they share the same login credentials.

Is this feature supported across different account creation methods?

Yes. It is supported through the Web UI, APIs, Bulk Imports, and Directory Sync (SCIM).
