Motive’s Driver Walkthrough simplifies driver task management while improving back-office operations by offering a customizable, step-by-step workflow. Fleets can set up templates on the Motive Fleet Dashboard to streamline tasks like vehicle inspections or safety event reviews.
While it includes built-in enforcement mechanisms to encourage task adherence, its main purpose is to guide and simplify task execution rather than lock down the app or force Drivers to complete tasks.
Note: This article focuses on Logs Required Drivers, but the same process can be followed to create a Walkthrough for exempt Drivers as well.
Setting Up a Beginning-of-Day Walkthrough
1. Set up the trigger: Select the Beginning of the Day as the trigger.
2. Choose the intended use: Ensure Logs Required is selected under the intended use if you’re setting up a Walkthrough for Drivers who are required to maintain ELD compliance.
3. Select & Sequence the Actions: Define the actions Drivers should complete at the start of their day, keeping the sequence logical and practical. Below is a recommended order:
-
- Change Duty Status (On-Duty)
- Update Log Form
- Connect to Vehicle
- Complete Vehicle Inspection
- Complete Asset Inspection (if required; this can be made optional).
- Review log edits
- Review Safety Tasks
- Review unidentified trips
Note: If Drivers are still not completing the inspection, please move to Connect to Vehicle below, placing it after Step 5.
4. Set Lock Points: Lock points help enforce the Walkthrough, but it’s important to understand their limitations. Drivers may bypass the Walkthrough depending on tasks completed at the previous day's end.
For Drivers required to maintain logs, the following lock points are recommended for a Beginning-of-Day Walkthrough:
-
- Connect to Vehicle
- Edit Current Day’s Log
- Go On Duty
Note: Lock points guide Drivers but don’t guarantee Walkthrough completion. Setting expectations about what lock points enforce is critical to avoid confusion.
Setting Up an End-of-Day Walkthrough
1. Set the Trigger: Select End of the Day as the trigger.
2. Choose the Intended Use: Ensure Logs Required is selected under the intended use if you’re setting up a Walkthrough for Drivers who are required to maintain ELD compliance.
3. Select & Sequence the Actions: Define the actions Drivers should complete at the end of their day, ensuring they follow a logical flow. Below is a recommended order:
-
- Complete Vehicle Inspection
- Complete Asset Inspection (if required; this can be made optional).
- Review Log Edits
- Review Safety Tasks (if applicable)
- Sign Logs
- Leave Vehicle
- Review unidentified trips
4. Set Lock Points: As with the Beginning-of-Day Walkthrough, lock points guide Drivers through tasks but may not enforce completion under all conditions. For End-of-Day Walkthroughs, consider the following lock points:
-
- Leave Vehicle
- Log Out
Setting Up Expiring or Missing Documents Walkthrough
1. Set the Trigger: Select Expiring or missing documents as the trigger.
2. Choose the Intended Use: Ensure the right Driver type is selected under the intended use.
3. Set Lock Points: For ‘Expiring or missing documents’ Walkthroughs, consider the following lock points:
- Connect to Vehicle
- Leave Vehicle
- Edit Current Day's Log
- Log Out
- Go On Duty
4. Name of the Walkthrough: Enter a name that clearly describes the purpose or use case of the walkthrough.
5. Select Document Templates: Select the document templates that drivers must complete for missing or expired documents. These are the default qualification document templates:
- Employment Application
- Pre-Employment Drug & Alcohol Test Results
- Inquiry to Previous Employers
- Employment Verification
- Medical Examiner’s Certificate
- Driver License
- Motor Vehicle Record
- Road Test Certificate
Note: If fleet admins select Mark as required for a walkthrough, drivers will continue to see it until all tasks are completed.
Setting Up Location-based Walkthrough
1. Set the Trigger: Select Location-based as the trigger.
2. Set the Geofence(s): Select a geofence or a category of geofences that should trigger the Walkthrough upon the Driver's arrival.
3. Choose the Intended Use: Ensure the right Driver type is selected under the intended use.
4. Select and Sequence the Actions: Define the actions drivers should complete when they arrive at the geofenced location, ensuring they follow a logical flow. Below are some suggested actions:
-
- Capture Document (if applicable)
- Update log form (if applicable)
- Complete Vehicle Inspection (if applicable)
- Complete Asset Inspection (if applicable)
5. Set Lock Points: For Location-based Walkthroughs, consider the following lock points:
-
- Edit current day’s log
- Go on-duty
- Leave Vehicle
- Log Out
Key Takeaways for Lock Points
- Lock points help guide Drivers through tasks but don’t lock down the entire Driver App.
- Drivers may skip certain tasks based on prior actions (such as completing a required action during the previous shift).
- Set realistic expectations for what lock points enforce and communicate this to teams.
By following these best practices, you can create effective workflows that ensure Drivers complete their tasks efficiently, maintaining operational flexibility. Please feel free to contact Motive support if you have any questions.
