Managing 2-Factor Authentication (2FA)

Motive’s Two-Factor Authentication (2FA) enhances fleet security by requiring a secondary verification code during login. Fleet Managers can enforce 2FA company-wide to ensure that only authorized users access sensitive telematics and operational data.

Overview

Two-Factor Authentication adds a critical layer of protection to your Motive account. Even if a password is compromised, 2FA prevents unauthorized access by requiring a unique 6-digit code sent via Email or SMS.

This feature ensures:

  • Enhanced Security: Protects against unauthorized dashboard and app access.
  • Flexible Verification: Users can choose their preferred method for receiving codes.
  • Company-Wide Compliance: Admins can mandate 2FA for all fleet users.

Enable 2FA for your company

Fleet Admins can require 2FA for all users in Admin settings.

  1. Fleet Admins can require 2FA for all users in Admin settings.
  2. Log in to the Motive Fleet Dashboard and click the Admin icon in the bottom-left corner.
  3. Select Security & Data from the left-hand menu.
  4. Locate the Account Access section and click Edit.
  5. Under the Two-factor authentication sub-section, select one of the following options:
    1. Enable for all fleet users: Requires every user in your organization to verify their identity via a second step.
    2. Enable for fleet users with admin permissions only: Restricts 2FA requirements to those with administrative access.
    3. Disable for all fleet users: Removes the 2FA requirement (not recommended).
  6. Click Save in the top-right corner of the Account Access card.
  7. Two-factor authentication is not required when a user is logging in using SSO (single sign-on), as indicated in the platform.
Note: Customers using Motive Cards will have 2FA enabled for fleet users with admin permissions as a minimum requirement. 

Log in using 2FA on the Motive Dashboard

Once 2FA is enabled, users must complete the following steps to access their account:

  1. Enter your Email and Password on the Motive login page and click Log In.
  2. On the Choose your verification method screen, select your preferred option:
    • Email: A code will be sent to your registered email address.
    • Text message: A code will be sent via SMS to your mobile phone.
  3. Click Next.
  4. Retrieve the 6-digit code from your email or phone.
  5. Enter the code on the Two-factor authentication screen.
    • Note: If you do not receive the code, click Resend code after the timer expires.
  6. Click Verify. Once verified, you will be automatically redirected to the Fleet Dashboard. You can also choose to remember your device for 30 days.
Note: If you enter an incorrect code multiple times, your account may be temporarily locked for security purposes. Follow the on-screen instructions or contact your Fleet Admin if you are locked out.

Log in using 2FA via the mobile browser

The 2FA process for the Fleet App is optimized for mobile security and follows a similar flow to the dashboard.

  1. Open the Motive Fleet Dashboard on your mobile browser and enter your credentials. 

  2. Choose your verification method (Email or SMS) and tap Next

  3. When the code arrives, enter it into the app’s verification screen.
  4. Tap Verify.
  5. (Optional) If prompted, you can select "Trust this device for 30 days" to stay logged in and bypass 2FA on that specific device for a set period.
