The Workforce Management (WFM) free tier update gives customers a hands-on way to experience a limited set of premium WFM capabilities, starting with Driver License Management and AI-powered Document Capture, before subscribing to Workforce Management.
With this update, fleets on the free Workforce Management tier can capture driver licenses in the Fleet Dashboard or via the Motive Driver App, track document status, and set license‑expiration alerts, simplifying driver qualification, onboarding, and compliance.
Overview
In the WFM free tier, you can now create a driver walkthrough that guides drivers to upload their licenses in the Motive Driver App, monitor upload status, and configure expiration alerts, with a clear path to upgrade to a Workforce Management subscription directly from the Fleet Dashboard.
Current WFH customer experience:
The new experience adds a welcome video and guided onboarding that prompt WFM customers who haven’t actively used key qualification features to add drivers, upload qualification documents, and configure alerts so they can get the most value from their subscription
Experience for non-Workforce Management customers
Non-WFM customers now get limited access to select premium features so they can experience WFM value before subscribing.
- Access Driver Qualifications: Use the built‑in Driver License template to upload, view, and manage core compliance documentation for each driver.
- AI‑powered license processing: Save time on data entry with AI‑powered processing for uploaded driver licenses, helping keep driver records complete and consistent with less manual work.
- Onboarding wizard: The updated Workforce Overview tab displays an onboarding wizard that guides you through creating drivers, uploading your first qualification document (starting with Driver license in this update), and configuring expiration alerts so you can drive value from the available features.
- Driver‑initiated uploads: With driver‑initiated uploads enabled, drivers can upload their own driver license from the Driver App into a dedicated Driver Qualification folder. reducing back‑office chasing and keeping records current.
- DQ upload and expiration alerts: Configure alerts for new uploads and upcoming license expirations so you can proactively follow up before documents go missing or expire.
- Benefits tab: Compare what is included in the Free tier with the WFM subscription features and easily request an upgrade from within the Fleet Dashboard.
Accessing the Workforce hub free tier experience
- Log in to the Fleet Dashboard and go to Workforce.
- New customers will see a pop-up welcome video. Click the play icon to watch an overview of the workforce management features and how to derive value for your fleet.
- Click Got it or X to close the pop-up.
- Overview tab displays the Onboarding wizard with a dashboard view of all essential Workforce Management reports and data points.
- Motor Vehicle Records (MVR) section on the free tier dashboard showcases Motive’s integrated MVR capabilities, which reduce manual entry by pulling data directly from each state and are available to customers with a WFM subscription.
- You can click Request upgrade to submit a request to upgrade to a WFM subscription.

Onboarding wizard
Onboarding wizard walks new users through the process of:
- Adding drivers - Creating the first driver profile
- Adding qualification documents - Uploading a qualification document via Fleet Dashboard or driver-initiated uploads
- Setting up qualifications alerts - Configuring Driver Qualifications upload and expiration alerts
Once these steps are completed, the Onboarding wizard transitions into a completed state and can be dismissed with follow-up banners to keep important next actions visible.
Adding drivers
- Click Add driver.
- Fill in the required information and click Save to create the driver profile.
- Once you have added drivers to your fleet, Drivers tab displays the list of all active drivers in your fleet.
- Click the three-dot menu to edit the driver profile, message the driver, or access the driver profile Summary view.
- Click Add driver to create a new driver profile.
Adding qualifications documents
Allowing drivers to upload documents from the Driver App
- From Add qualifications documents, click Get started.
- Select Allow drivers to upload documents (recommended).
- Click Next.
- Enter the Walkthrough name.
- Select a document type from the dropdown.

- Select one or more driver type options from the dropdown.
- Click Enable driver upload to create the walkthrough that prompts drivers to upload their own qualifications documents.
- Click Check progress to view the documents uploaded by drivers under the Qualifications tab.
Uploading qualifications documents via Fleet Dashboard
- From Add qualifications documents, click Get started.
- Select Upload documents myself.
- Click Next.
- Select a document type from the pop-up.
- Click Driver license.

- Click Upload or drag and drop to upload the driver license file.
- Once uploaded, click Process.
- A Processing document pop-up appears while AI extracts document information.
- Review the AI-extracted data and update any incorrect or missing information.
- Once done, click Save.
- Once uploaded, you can view all qualification documents under the Qualifications tab.
Setting up expiration alerts for driver qualifications
- Click Create alert.
- Select Drivers and Expiration status for the alert.
- Select a Document type from the dropdown.

- Set up alert recipients, delivery frequency, and method.
- Once done, click Save.
- After you have added the first driver, uploaded a qualification document, and created an alert, the Onboarding wizard transitions into its completed state.
- Click X to close the Onboarding wizard from the Overview tab.
Timecards
- The Timecards tab displays a list of timecards for all the drivers with timecards as their time-tracking method.
- Click any timecard to view its detailed view.
Free tier templates
- The Templates tab for free-tier users shows the Driver license template as Active.
- All templates except driver license remain Locked because free-tier users only have access to one document type.
- You can click View to still a preview of a couple of mostly used templates.
- Click the three-dot menu for the active template to edit it and manage its visibility.

- The Benefits tab displays a side-by-side comparison of the features included in Free tier (your current Fleet subscription) and the paid WFM subscriptions.

What can I do with the Workforce Management Free tier?
With the WFM Free tier, you can use the built‑in Driver License template to upload, view, and manage licenses, see their status in the Workforce hub, and configure upload and expiration alerts for Driver Licenses.
Which qualification documents are included in the Workforce Management Free tier?
With a Free tier of WFM, you can only upload and manage a Driver License as a qualification document. Other qualification document types (such as Medical Examiner’s Certificate, MVR, Employment Application, or custom templates) are available only with a Premium WFM subscription.
Which alerts are available in the WFM Free tier?
Within the WFM Free tier, you can configure the following:
- Driver License upload alerts: You will be notified when any driver uploads a new license from the Driver App.
- Driver License expiration alerts: You will be notified when a license is nearing expiry or has expired.
Qualification alerts for all other document types are only available to the paid WFM subscribers.
How does the onboarding wizard work?
The onboarding wizard walks you through three steps:
- Adding drivers - Creating the first driver profile
- Adding qualification documents - Uploading a qualification document via Fleet Dashboard or driver-initiated uploads
- Setting up qualifications alerts - Configuring Driver Qualifications upload and expiration alerts

Can drivers upload their own Driver Licenses with the WFM Free tier, i.e., without a paid WFM subscription?
Yes. If you enable driver‑initiated uploads and configure a Driver License walkthrough, drivers can upload their own Driver License from the Driver App into the Driver Qualification folder within the free tier experience, not requiring a workforce management subscription. These uploads then appear under Workforce > Qualifications for your review.
What is the Benefits tab, and how do I use it?
The Benefits tab shows what is included in the WFM Free tier and what you get with the paid WFM subscription (full Driver Qualification, MVRs, training, coaching, and more). From this tab, you can click Request upgrade to upgrade to a WFM subscription.
What happens to my Driver License documents if I upgrade later?
Your existing Driver License documents stay in Motive when you upgrade to the paid WFM subscription. Upgrading simply unlocks additional qualification templates, alerts, and Workforce Management features on top of what you have already set up.
Do I need to turn on the WFM Free tier for my account?
No. WFM Free tier is automatically available for all Motive customers who do not already have a paid WFM subscription or active WFM trial. You can start using it as soon as you open the Workforce tab in the Fleet Dashboard.
