Fleet Pass is a fuel-discount program for eligible fleets which don’t use a Motive Card. Fleet admins can enable it for selected drivers, link an existing payment card, and set spending limits. Once enabled, drivers can then use Motive Fleet Pass to access available fuel discounts.
Overview
- Simplified fuel savings: Fleet Pass gives access to eligible Motive customers to use Motive fuel discounts without having a Motive Card.
- Enhanced experience: The Spend tab replaces the Cards tab for eligible Motive fleets that don’t have Motive Card enabled.
- Admin-controlled setup: Fleet admins can add a payment method, enable selected drivers, and set spend limits.
- Driver access: Enabled drivers can use the Fleet Pass to access discounts at specific fuel locations.
- Flexible options: Eligible customers can choose between enabling Fleet Pass and applying for a Motive Card.
Managing Fleet Pass via Fleet Dashboard
Enabling Fleet Pass
1. Log in to the Fleet Dashboard, click Spend > Enable Fleet Pass.
2. On the Fleet Pass Setup screen, click Add payment method > select Debit card or Credit card.
3. On the card details screen, add details > click Save.
4. In the Drivers section, click Change.
5. Select the required drivers > click Save.
6. In the Spend Limit section, set the required limit.
7. Select the limit period from the dropdown.
8. Once done, click Finish Setup.
Fleet Pass Policies
1. Log in to the Fleet Dashboard, click Admin.
2. Click Products > Spend > Policies.
3. Click Create in Spend limits section.
4. Add Policy details including Policy name, Time limits, Spend limits, and Category limits.
5. For custom Time Limits, set required days and selective time.
6. For specific Category limits, select the required Fuel merchant.
7. Click Save.
Managing Spend tab
1.Log in to the Fleet Dashboard > click Spend.
2. The Overview tab displays details including Summary, Activity, Spending Breakdown, and Top spenders.
3. The Transactions tab displays all the purchases done using Fleet Pass.
4. The Drivers tab displays a list of drivers eligible to use the Fleet Pass. Fleets can use the search, Date, and Policy filters to have a shortlisted display.
5. The Spend tab allows fleets to apply for a Motive Card, click Apply now to get a Motive Card for your fleet.
Using Fleet Pass via Driver App
1.Log in to the Driver App > tap the Fleet Pass tile.
2. Tap Get a code.
3. Get a code pop up displays details about the amount being charged, tap Continue.
4. Drivers can use the provided code on the screen for fueling purposes at the participating fuel stations.
Removing Card for Fleet Pass
1.Follow the steps in the Enabling Fleet Pass section to add the required card for payment method.
2. In case of changing the card details, click the delete icon.
3. On the Remove Payment method pop up, click Yes, remove.

Do I need a Motive Card to use Fleet Pass?
No, Fleet Pass is designed to give eligible non-Motive-Card customers access to the Motive discount network without full Motive Card onboarding.
