Introduction
Asset Documents brings document management for trailers, dollies, and other assets into Motive. Fleet users can now upload, organise, track, and share documents for any asset in their fleet registrations, insurance, annual inspections, permits, manuals, calibration certificates, and more directly from Documents in the Fleet Dashboard.
A new Motive Driver App asset selection workflow allows drivers to view asset documents, ensuring important information is always at hand, whether during a roadside inspection, on a job site, or en route.
What's New?
- New Asset document category: A dedicated Asset category in the Documents Hub on the Fleet Dashboard allows fleets to upload, manage, and track documents associated with trailers and other assets.
- AI-powered document capture: Motive provides four AI-powered default templates: Asset Registration, Asset Insurance, Asset Annual Inspection, and Asset Permit. When a fleet user uploads a PDF, JPG, or PNG, Motive's AI extracts information specified in the template (e.g., expiration date) and associates the document with an asset through matching the VIN, licence plate, or asset ID number.
- Single, bulk, and API upload with AI: AI-powered classification, extraction, and asset association is available to organisations uploading documents one at a time, in bulk, or programmeatically via Motive’s public API.
- Custom asset document templates: Fleet users can create custom asset document templates using the template builder with configurable fields and required items to capture precisely what their organisation needs. Asset fields may also be added to Trip and Other document types.
- Driver App access: Drivers can view assigned asset documents in the Motive Driver App when connected to an asset through travel groups, pre-trip inspections, log form selection, static vehicle-asset pairs, or manual pick list selection. Documents are cached for offline access in low-connectivity areas.
- Expiration tracking: Expiration dates (extracted by AI or entered manually) are tracked in the Documents Hub, helping organisations stay ahead of renewals.
