Integrated Training

Integrated Training in the Motive Performance hub helps fleets create, assign, and track driver training in one place, so they can deliver consistent education, reinforce safety and compliance, and monitor completion without relying on separate learning tools or manual tracking.

Note: Integrated Training is only available to customers with a paid Workforce Management subscription.

Overview

  • Central training hub: Manage all training modules from the Performance > Training tab, with a single view of assigned, completed, and overdue modules across your fleet.
  • Custom training modules: Upload your own video content, add titles, descriptions, and categories, and configure assessments so training is tailored to your safety, onboarding, and compliance needs.
  • Flexible assignments: Assign modules from the Training tab or Coaching Summary to individual drivers or groups, with due dates that support both planned programs and event-driven follow-up.
  • Driver app experience: Drivers can view, complete, and revisit assigned training directly in the Motive Driver App, with clear due dates, overdue indicators, and in-app access to videos and assessments.
  • Completion tracking & reports: Use Driver Training Summary and Driver Training Detail reports to monitor assignments, completions, and overdue modules, helping you stay audit-ready and target follow-ups.
  • Category management: Configure default and custom training categories under Workforce settings so modules are organized clearly for assignment, reporting, and discovery.
  • Coaching integration: Assign relevant training modules from Coaching Summary so safety coaching can be reinforced with structured training tied to specific behaviors or events.

Accessing Training from the Fleet Dashboard 

  1. Log in to the Motive Fleet Dashboard and click Performance.
  2. Click Training.
  3. The Training page displays a complete list of training modules created for your fleet. 
  4. For each listed training module, you can see the following details:

    • Module Title shows the name given to a training module. 
    • Category for a module indicates what the training is for. 
    Note: By default, Motive and Uncategorized are the two categories added to the Fleet Dashboard. You can go to Admin > Workforce > Training Categories to set up custom categories such as Safety, Compliance, Speeding, etc. 
    • Assigned shows the number of selected participants for a training. 
    • Completed shows the number of participants who have completed the training so far.
    • Overdue shows the number of participants whose training is overdue. 
    • Status for a module can be Draft for modules not yet published or assigned, Active for published modules, or Inactive for deactivated modules that are no longer editable.

Filtering and sorting 

Use filters and sorting to quickly find the modules you are looking for.

Filters

  • Module title: Search by entering the module name. 
  • Category: Filter by the assigned module category.
  • Status: Filter by the current module status by selecting:
    • Active for published modules.
    • Draft for modules that are saved as drafts and not yet published.
    • Deactivated for inactive modules that are no longer editable.

Sorting

  • Assigned (highest): See modules with the most number of assigned participants at the top. 
  • Assigned (lowest): See modules with the least number of assigned participants at the top. 
  • Completed (highest): See modules with the highest number of completed assignments at the top. 
  • Completed (lowest): See modules with the lowest number of completed assignments at the top. 
  • Module title (A -> Z): Sort module titles alphabetically from A to Z (set by default). 
  • Overdue (highest): See modules with the highest number of overdue assignments at the top.
  • Overdue (lowest): See modules with the lowest number of overdue assignments at the top.

Viewing training module details 

Viewing details of an active module 

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any active module to view its details. 
  1. Detailed view of an active training displays the following:
    • Driver / ID - A complete list of participants for the selected training module. 
    • Due Date - Deadline for the completion of the selected training module.
    • Completed - Training module completion date for each participant.
    • Status - Current module status for each participant, which can be either Assigned, Completed, or Overdue.
  2. Click the three-dot menu for any driver to message the driver, change the due date for their assignment, unassign the module, or mark their assignment as completed.
  1. The summarized view shows:
    • The total number of participants your selected training is Assigned to.
    • The total number of participants who Completed the training.
    • The total number of participants for whom the training is Overdue
  2. Use the search bar to search for participants by Driver name or ID.
  3. Use the Status filter to find participants with specific training statuses. 
  1. From Media, you can view the uploaded training video and see its file size.
  2. You can also view other details such as module Description, Category, added questions, and training creation and update history.

Viewing and publishing a draft module 

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any module with Draft status to view its details. 
  1. The detailed view of a draft module displays the uploaded training video with its file size and other details such as module Description, Category, added questions, and training creation and update history.
  2. Click Publish to activate the module.
  1. Click Publish to confirm.

Creating a training module

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click Add Module.
  1. Enter the module Title and Description.
  2. Click the dropdown for Module category and select a category option.
  1. From Media file, click or drag the video file to upload the video for the training module.
Note: Supported video formats include MP4 and MOV.
  1. Click Upload under Thumbnail to upload a PNG or JPG image to represent the module content. 
  1. From Form Elements, click or drag and drop an element to add it to the module. 
  2. Click Edit label and option fields to enter element details. 
  3. To create assessments, add Single Select and Multi Select elements and type the question details.
  4. Tick the box for Mark as required to make an element compulsory for completing the training. 
  1. Under Driver App Preview, see how the training modules appears to drivers.
  2. Once done, you can either publish the module or save it as a draft. Click Publish to save the module in Active state.
Note: Once published, you can only edit the title, description, category, and thumbnail of an active module. Video content cannot be edited for active modules. 
  1. Click Save as draft to save the module in the Draft state so you can make changes to it later. 
  1. Click Save to confirm.

Assigning an active training module 

Note: Completed, Inactive and Draft modules cannot be assigned. You can only assign an active module to drivers or groups in your fleet.  

Assigning training modules from the training tab

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any active module to view its details. 
  1. Click Assign.
  1. Check the boxes for drivers or groups you want to assign the training to.
  2. Once done, click Next.
  1. Click the Date dropdown to select a due date. 
  1. Click Assign.
  1. An assignment confirmation message appears with details on unsuccessful assignments if any. 
  2. Once assigned, you can see the selected drivers added to the list of participants.

Assigning training modules from Coaching Summary 

  1. Log in to the Fleet Dashboard and go to Performance > Coaching.
  2. Click Coach for the driver you want to coach and assign a training module to.
  1. Click Start Coaching.
  1. After conducting the session, click End Session.
  1. Click End Session to confirm.
  1. From the Coaching Summary screen, click Assign.
  1. Tick the box for the module you want to assign and set a due date.
  2. Once done, click Assign.
  1. A confirmation message appears, and you can see the assigned module listed under Assigned Training Modules.
  2. Click Complete Session to end the coaching session.

Editing a training module

Editing an Active training module 

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any active module to view its details. 
  1. Click the three-dot menu and select Edit.
  1. Make edits to the module Title, Description, Category, and Thumbnail
Note: Video content cannot be edited for active modules. 
  1. Once done, click Save.

Editing a Draft training module 

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any module with Draft status to view its details. 
  1. Click the three-dot menu and select Edit.
  1. Make the necessary edits.
  2. Once done, you can either Publish your draft or Save as draft state again. 

Deactivating and reactivating a training module 

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any active module to view its details. 
  1. Click the three-dot menu and select Deactivate.
  1. Click Deactivate to confirm.
  1. To reactivate a module, simply click Activate from the module detail view. 

Bulk deactivating active modules

  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Check the boxes to select multiple modules. 
  3. Click Deactivate.
  1. Review the information and select Deactivate to confirm.
Note: No bulk actions can be performed on modules in the Draft state. Only modules in Active state support one bulk action of deactivation.  

Deleting a training module

Note: Only modules in draft state can be deleted. For active modules no longer required, you can only deactivate them.
  1. Log in to the Fleet Dashboard and go to Performance > Training.
  2. Click any module with Draft status to view its details. 
  1. Click the three-dot menu and select Delete.
  1. Click Delete to confirm.

Training admin settings 

Creating and enabling permissions to manage training modules 

Similar to Timecards, access is permission-based. A primary control allows users to view training modules. An additional control is required to enable editing. This ensures that different roles in the organization have appropriate access.

To create a new role:

1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.

2. In the Organizations menu, click Fleet Users.

3. Click Roles & Permissions.

4. Click +Create Role.

5. Type the name for the new role.

6. Scroll down to the Workforce section. Select the checkbox for View Training Modules and Edit Training Modules.

7. Click Create. The new role has now been created.

To edit an existing role:

1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.

2. In the Organizations menu, click Fleet Users.

3. Click Roles & Permissions.

4. Select the role you want to edit and click Options. 

5. Select Edit from the dropdown menu. 

6. Scroll down to the Workforce section. Select the checkbox for View Training Modules and Edit Training Modules.

7. Click Save.

To assign roles to the users:

1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.

2. In the Organizations menu, click Fleet Users.

3. Click Users.

4. Select the user you want to assign the role and click the three dots.  Select Edit roles & groups.

5. Select the role(s) and group(s) from the menu. 

6. Click Save. The role with permissions for viewing and editing training modules is now assigned to the desired user.

Manage categories of modules for Training

1. Log in to the Motive Dashboard and click the Admin icon in the bottom-left corner.

2. In the Products menu, click Workforce.

3. In the Training Categories section, click Edit.

4. You can select between Default categories and Custom categories to which a training module may be assigned. Next to each category, you can view the number of training modules currently using it.

Note: Default categories (including Uncategorized) can’t be deleted. You can turn off a default category, except for Uncategorized, which is always required.

5. To delete a custom category, click the X icon next to the number of training modules.

Note: Custom categories can be turned off or deleted. If deleted, modules assigned to it will move to Uncategorized.

6. To create a custom category, click Add Category.

7. Enter the name of the category. The category name is required to proceed.

8. Click Save to save the changes.

Accessing training reports 

1. Log in to the Motive Dashboard.

2. Click Reports from the left-hand side menu.

3. Under the Browse section, click Drivers.

4.  Open the Driver Training Detail report to see detailed training activity by driver and the Driver Training Summary report to check the summary of training progress across different drivers or groups.

5. The Driver Training Summary contains information about trainings that have been assigned, completed, and are currently overdue, with completeness varying across different drivers.

6. The Driver Training Detail report includes details on drivers, their assigned groups, training modules, categories, due dates, and completion dates.

View and complete Training modules in the Driver App

To view any assigned module:

1. Log in to the Motive Driver App.

2. Tap Training from the main menu or the home screen.

3. The Training page displays all assigned modules along with their due dates.

4. If a module is not completed by its due date, it moves to the Overdue section.

5. To view completed modules, tap Completed Modules.

6. Tap any module to view its details, including the training video and the assessment.

To complete an assigned module:

1. Log in to the Motive Driver App.

2. Tap Training from the main menu or the home screen.

3. The Training page shows all assigned modules along with their due dates.

4. Tap a module to open it.

5. The training module appears on the screen. Watch the video. If there are no assessments, tap Mark Complete.

Note: If the module includes assessments, complete them first. All answers must be correct to proceed. Then, tap Mark Complete.

7. The module status updates to Complete once finished.

FAQs

Who can use Integrated Training?

Integrated Training is available to customers with a Workforce Management subscription that have Training enabled. Fleet users need the View Training Modules and/or Edit Training Modules permissions to access and manage training in the Motive Fleet Dashboard, and drivers must use the Motive Driver App to view and complete assigned training.

Where do I find Integrated Training in the Motive Fleet Dashboard?

In the Fleet Dashboard, go to Performance > Training to view and manage all training modules. From here, admins can create modules, edit existing ones, and see assigned, completed, and overdue training at a glance. 

What file types and sizes are supported for training video content?

Integrated Training currently supports video-based training using MP4 and MOV files. Fleets can upload larger training videos, making it easier to use higher-quality or longer training content without splitting files.

What is the difference between Draft, Active, and Inactive modules?

  • Draft: Work-in-progress modules where you can fully edit titles, descriptions, categories, media, thumbnails, and assessments. However, Draft modules cannot be assigned to drivers.
  • Active: Live modules that can be assigned to drivers or groups. Only metadata (title, description, category, thumbnail) can be edited. Media and assessments become read-only when a module is published.
  • Inactive: Previously Active modules that are deactivated because they are no longer needed. Deactivated modules cannot be edited or assigned, but remain visible for reference and reporting.

What can I edit after a module is published and Active?

When a module is Active, you can safely edit the module title, description, category, and thumbnail. You cannot change the training media or assessment questions for Active modules, which prevents unexpected changes for drivers who are already in progress and keeps completion data consistent.

How do drivers see and complete assigned training?

Drivers open the Training section in the Motive Driver App to see assigned modules, due dates, and overdue items. They tap a module to watch the video and complete any assessments. A module can only be marked complete once the video has been fully reviewed and all required assessment questions are answered correctly.

How can I track training completion and identify overdue modules?

Fleet users can monitor training in three places:

  • The Training tab, which shows assigned, completed, and overdue counts per module and per driver.
  • The Drivers tab, which includes a Training column and filters for overdue training.
  • The Driver Training Summary and Driver Training Detail reports, which provide assignment, completion, and overdue metrics for drivers and modules, and support export and scheduling.

How does Integrated Training work with Coaching?

From Coaching Summary, safety managers can review events for a driver and then assign a relevant training module as part of the coaching workflow. Assigned modules show up under Assigned Training Modules in the Coaching Summary so fleets can connect real-time coaching with structured, follow-up training.
