Motive Maintenance Overview

Motive Maintenance brings fleet maintenance into one place so teams can monitor vehicle and asset health, manage repairs, track maintenance costs, and make informed decisions. It connects inspections, real-time telematics, driver logs, shop operations, fault codes, scheduled services, work orders, parts inventory, and cost data in a single experience in the Motive Dashboard.

Key features

Motive Maintenance helps fleets move away from disconnected tools and manual tracking by bringing maintenance workflows and insights together in one system. This makes it easier to catch issues earlier, manage repairs more efficiently, understand the maintenance spend, and keep vehicles and assets operating reliably.

  • Overview: A centralized view of fleet health and maintenance activity, including key metrics, urgent issues, work orders, and quick links to important maintenance actions.
  • Health: A prioritized view of vehicles and assets that brings together availability, open defects, active fault codes, scheduled service, and open work orders in one place.
  • Customizable Inspection Forms: Provides a fully customizable digital inspection platform to create and assign inspection forms by vehicle type, with custom defect lists and part-level defect resolution to capture issues accurately and consistently.
  • Vehicle and Asset Availability: Tracks real-time availability status for vehicles and assets so dispatchers only assign safe, ready units, reducing unplanned downtime and improving dispatch accuracy.
  • Fault Codes and Diagnostics: Monitors Diagnostic Trouble Codes (DTCs) in real time through the Motive Vehicle Gateway, surfacing fault codes and diagnostic alerts early to detect issues before they escalate.
  • Service Scheduling: Automates service intervals by time, mileage, or engine hours, with centralized schedules and reminders that ensure vehicles receive timely maintenance without manual tracking. Provides a clear, filterable view of upcoming and pending maintenance tasks with due dates, helping managers plan resources, avoid last-minute disruptions, and maximize vehicle uptime.
  • Work Orders: Tracks every repair from an inspection defect or fault code through to completion in one digital workflow. Also, automatically triggers alerts and creates work orders from faults, defects, and scheduled services.
  • Operating Cost: A detailed view of maintenance and fuel spend across the fleet, with cost trends, cost breakdowns, and unit-level cost insights.
  • History: Keeps a complete record of maintenance history for each vehicle and asset, including service dates, work performed, costs, supporting documents, and which work order the service was completed on, giving teams full visibility into vehicle health and audit-ready records.
  • Parts and Inventory: Tools for managing parts, tracking stock at internal shops, recording inventory movement, and reducing the risk of stock shortages.
  • Warranty Tracking: Visibility into vehicle, asset, and part-level warranty coverage so teams can identify covered repairs before paying out of pocket.
  • Replacement Analysis: Cost-based replacement insights that help fleets identify when it may be more cost-effective to replace a vehicle instead of continuing to repair it.
  • Maintenance Settings: Allows admins to configure maintenance settings, inspection requirements, out-of-service rules, and notification preferences so maintenance workflows align with fleet policies and regulatory needs.
  • Maintenance Reports and Alerts: Delivers detailed inspection, maintenance, reminders, availability, and dormancy reports, along with real-time maintenance alerts to enable teams to manage by exception, monitor vehicle health at scale, and act quickly on urgent issues.
  • Permissions: Granular access controls that let admins manage who can view or manage different parts of Motive Maintenance.

FAQs

Is this a full CMMS?

Yes. The product delivers the full maintenance workflow; work orders, parts and inventory, VMRS-coded cost analytics, warranty tracking, and replacement analysis. What makes it more than a traditional CMMS is that it is built natively on Motive's platform, so the Health insights and fuel cost data populate themselves from telematics the fleet already has, rather than depending on manual entry.

What is included in the fleet subscription versus the maintenance subscription?

The fleet subscription provides Inspections, Availability, AI Fault codes, Health Insights, service schedules, service history, maintenance settings, and maintenance reports and alerts — the entry point that showcases Motive's native health intelligence. Everything else i.e work orders, AI invoice processing, operating cost analytics, parts and inventory, warranty tracking, VMRS cost reporting, replacement analysis, and work order automations — is part of the maintenance subscription.

Does it require any hardware or an integration?

No integrations required. Fault codes, odometer and engine hour readings need a VG3 or AIDC+ hardware.
