Fleet managers can now view and manage Motive Cards from the Motive Fleet App. This mobile feature makes it easier to respond to card issues, update spending policies, and keep track of your fleet’s expenses.
Overview
The Motive Card section in the Fleet App brings key spend management tools to your mobile device. It helps you stay on top of your fleet’s spending whether you're in the office or on the move.
Manage cards on the go: View card statuses, update spend policies, and freeze or unfreeze cards from your phone or tablet.
- Complete spend visibility: Check recent transactions and filter by driver or vehicle to spot spending trends in real time.
- Streamlined account management: View account details and pay off balances directly in the app.
Monitor card status: See a full list of cards and whether each one is active or frozen. - Change spend policies: Update spending rules on the go based on driver or vehicle needs.
Freeze or unfreeze cards instantly: Act quickly if you notice unusual activity or need to pause a card. - Unlock and view a Motive Card: See a full list of cards assigned to you, and unlock it for transactions
- Upload Receipts: Update transaction details and images directly from the app
The Motive Fleet App is available for Android and iOS on both phones and tablets.
Unlocking a Motive Card
- Log in to the Motive Fleet App and tap More.
Tap My Cards.
Select the desired Virtual or Physical Card.
Tap Unlock your card.
- Fill in any details that your fleet administrator has mandated, for example, Expense Type and Project ID.
Tap Confirm.
The card is unlocked for 30 minutes.
Viewing Transactions
- Log in to the Motive Fleet and tap More.
Tap My Cards.
Select the desired Card.
- Tap Recent Transactions.
Select the desired transaction from the list.
Transaction Details for the selected transaction are displayed on the screen.
Uploading Receipts
- Log in to the Motive Fleet and tap More.
Tap My Cards.
Select the desired Virtual or Physical Card.
Tap Upload receipts under Tasks.
The transactions for which the driver has to upload receipts appear. Select the desired transaction.
Transaction Details for the selected transaction display on the screen. Tap the Edit icon.
Tap the Camera icon.
Take a new image or upload an existing image.
- Add Comments.
Tap Save.
FAQs
A driver lost their card. How quickly can I freeze it?/p
You can freeze the card instantly in the Cards tab. Select the card and choose Freeze card from the menu.
Can I see why a transaction was declined in the app?
Yes. The transaction details screen shows the reason for any declined transactions, such as an incorrect spend category or an exceeded limit.
Why can't I see the option to manage cards in my Fleet App?
Card management requires specific permissions. Contact your fleet admin to make sure your user role includes Access card management and Edit card status and spend control permissions.
