Introduction
Managing qualifications for deactivated drivers helps fleets stay compliant while keeping day‑to‑day operations focused on active drivers. It lets you filter deactivated drivers out of your default Qualifications view so you can concentrate on current staff while still maintaining required access to their DQ files for three years as required by FMCSA.
What’s New?
We’re making it easier to focus on your current employees. Driver qualifications now show only active drivers by default, while DQ files for deactivated drivers remain accessible through the Driver Qualifications filter.
- We are updating the Qualification status filter on the Workforce > Qualifications tab to show Deactivated drivers. With this addition, the Qualification status filter now supports four statuses:
- Eligible
- At risk
- Ineligible
- Deactivated (new)
- Deactivated view: Selecting Deactivated shows only drivers whose account status is deactivated and who have at least one qualification document, so teams can quickly find previous drivers’ DQ (Driver Qualifications) files when needed without cluttering day-to-day workflows.
- Restricted actions on deactivated drivers: When a driver is deactivated, you can only download, view, or archive their documents. You cannot make changes to those documents, since edits are only allowed for active drivers.
- Add-qualification and MVR import alignment: When you add a qualification document or import a Motor Vehicle Record (MVR), only active drivers will appear. This prevents you from uploading documents for deactivated drivers.
How does this help our customers?
- Quicker completion of Driver Qualification tasks: By showing only active, at-risk drivers, compliance teams can focus on current issues and complete DQ tasks faster without sorting through inactive or former drivers.
- Reduced errors and improved focus: Status-aware lists and accurate search results make it easier to upload documents or order Motor Vehicle Records (MVRs) correctly. This minimizes confusion, prevents attaching files to deactivated drivers, and helps admins ensure every action is linked to the right person.
- FMCSA compliance with easy access: Fleets can access DQ files for deactivated drivers for at least three years after separation to support audits, investigations, and reviews. These records stay accessible when needed, but no longer clutter daily workflows focused on active drivers.
