Motive’s geofencing feature in Fleet View provides a centralized way to manage geofences across your fleet, allowing you to streamline operations and maintain compliance with regulations. Key features include:

Creating geofences
You can create geofences individually, in bulk, or directly from the map using the location search feature.
To create one geofence:
- In the Fleet Dashboard, go to Fleet View.
- Click Create geofence at the top-right or Admin > Geofences > Add Geofences.
- Enter an address to find a specific location.
- Drag the blue box to outline the geofence area.
- Choose a shape (polygon, circle, or freehand) using the shape icons. For a circle, adjust the radius (min: 0.0 km, max: 640 km).
- Name the geofence and select a category from the dropdown.
To create a custom category, click Create category.
Type the custom category name and select a color from the dropdown, and click Save.
A pop-up appears confirming that the category is created and assigned to the geofence.
- Add relevant details, such as address, phone number, email, and notes.
Click Save to create the geofence.

To create multiple geofences:
In the Fleet Dashboard, go to Admin > Geofences.
Click Import Geofences at the top right.
Download the Geofences Import Template (CSV).
- Fill in the required geofence information in the template.
- Upload the completed file by dragging it into the upload area or selecting it.
- Click Import to finish.
Using search to create a geofence
- Enter a location in the Search bar.
- A pin will appear on the map.
- Click Create a geofence here to start creating the geofence with the location pre-filled.
Editing geofences
Adjust existing geofences to meet changing operational needs.
To edit a geofence:
- In the Fleet Dashboard, go to Admin > Geofences.
Find the geofence you want to edit and select Edit geofence from the options menu.
- Resize the geofence by dragging any vertex or adjusting the radius for circles.
- Change the shape or update the geofence name, category, and other details, such as adding a custom category.
Click Save Changes to apply updates.
Deactivating geofences
Deactivate geofences when they are no longer needed.
To deactivate one geofence:
- In the Fleet Dashboard, go to Admin > Geofences.
- Click Options next to the geofence you want to deactivate.
Select Deactivate geofence from the dropdown.
To deactivate multiple geofences:
- In the Fleet Dashboard, go to Admin > Geofences,
- Check the boxes next to the geofences you want to deactivate.
Click Deactivate at the bottom of the page.
Reactivating geofences
Reactivating deactivated geofences is quick and easy.
To reactivate a geofence:
- In the Fleet Dashboard, go to Admin > Geofences.
- Apply the Deactivated Geofences filter.
Click Options next to the geofence and select Activate geofence.
Updating geofence categories
- In the Fleet Dashboard, go to Admin > Geofences.
- Check the boxes next to the geofences whose category you want to update.
Click Update category at the bottom of the page.
- Select the category from the dropdown and click Save.
The updated category appears in the Category column for the selected geofences
Managing geofence categories
Fleet managers can customize and organize geofence categories to better track specific locations like maintenance facilities, fuel stations, or job sites.
Accessing category management
- Log in to the Motive Fleet Dashboard and click on Geofences in the left-hand side menu.
- Select the Categories tab at the top of the page to view your current list of geofence labels.
- To make changes to existing categories, click the Edit button in the top right corner of the Categories list.
Customizing and editing categories
Once in edit mode, you can perform the following actions to streamline your fleet's location data:
- Rename Categories: Click into the Name field of any category to update its title (e.g., changing "Fuel Station" to "Preferred Fueling Sites").
- Assign Colors: Click the Color dropdown next to a category name to choose a specific color code. This helps visually distinguish different types of geofences on your fleet map.
- Reorder List: Use the six-dot grid icon on the far left of each category to drag and drop them into your preferred order.
- Delete Categories: Click the X icon on the far right of a category row to remove it.
Note: If a category is deleted, any geofences assigned to it will become "Uncategorized," and you may stop receiving specific alerts or reports tied to that category. Categories marked with an asterisk (*) are system defaults and cannot be deleted. Save Changes: Once you have finished your adjustments, click the Save button in the blue header to apply the updates across your dashboard.
Categories Order: The category selection made in the Categories setting will determine the sequence in the Category filter on the Geofences tab.
Viewing geofences
Once a geofence is created, fleet managers can monitor its performance and real-time status through the Geofence Details page. To access this view, navigate to the Geofences tab, click the three-dots icon next to a specific location, and select View geofence.
- Geofence Identity: The header displays the geofence name, its assigned category (e.g., Risk Zone), and contact information like phone numbers associated with the site.
- Current Inventory: This section shows a live count of the number of Vehicles and Assets currently within the geofence boundaries.
- Activity Summary: This area tracks performance metrics over a selected timeframe, such as the last 7, 30, or 90 days. It includes:
- Total Visits: The total number of times vehicles or assets entered the zone.
- Total Visit Duration: The cumulative time spent by all equipment inside the location.
- Avg. Visit Duration: The average amount of time spent per visit (dwell time).
Management and reporting
From the Details page, you can take direct action or pull deeper analytical data:
- Direct Actions: Use the Edit button to modify the geofence shape and settings, or click the three-dots menu to Deactivate the geofence if it is no longer needed.
- Map Visualization: Click View Location in Fleet Map to see the geofence in the context of your entire fleet's live position.
- Quick Links to Reports: For a deeper dive into historical data, two direct reporting links are available:
- Geofence Summary Report: Provides a detailed log of entries and exits over time.
